AI Support Copilot for Help Scout

A small Help Scout team gets every conversation pre-drafted from its own Docs articles, and still sends every reply personally.

Help Scout teams pride themselves on personal replies, but small teams still retype the same answers every day. This copilot drafts a suggested reply in each conversation your team opens, using your Docs articles, policies and the customer's profile. The draft appears as a note with links to the Docs it used, and a teammate adjusts it and sends it in their own voice.

  • Every conversation pre-drafted from your own Docs articles
  • Customer profile details used to personalize each draft
  • Teammates adjust and send every reply in their own voice

What it is

AI Support Copilot for Help Scout drafts a suggested reply in each Help Scout conversation your team opens, using your Docs articles, policies and the customer's profile. The draft appears as a note with links to the Docs it used, and a teammate edits and sends it. It never emails customers itself.

Why businesses buy it

Small support teams grow by doing more with the same people, and in Help Scout that usually means long days of careful, repetitive writing. Hiring is slow, and quality slips when everyone is stretched. After launch, each conversation opens with a grounded draft and its sources, so your team keeps the personal touch while replying faster. The Scope Card lists the Help Scout fields, Docs sources and approval rules in writing before you order, so you know exactly what is drafted and that customers only hear from your team.

Problems this solves

Teammates hunt through Docs to find the article that answers it

Each Help Scout conversation gets a suggested reply as a note, with links to the Docs articles it used. Teammates can open the source in one click before editing and sending.

Customers get generic answers that miss their account details

Drafts use the customer's Help Scout profile through the agreed field mapping. The reply can speak to their situation, and a teammate still shapes every word before it goes.

Leaders worry an AI tool might email customers unchecked

The copilot never emails customers itself. It only writes notes, and your approval rules across up to six workflows set how drafts are used. A person sends every reply.

A good fit if

A few people share one Help Scout mailbox, and answering the same questions eats the time meant for harder ones.
Your Docs site already answers most questions, but teammates rewrite those answers by hand in every reply.
You value the personal tone of your replies and do not want a bot emailing customers directly.
You can set up a Help Scout OAuth app, and an admin can give thirty minutes to a setup call.

Not the right fit if

You want routine conversations resolved with no teammate involved. See AI Customer Support Agent for Help Scout.
Your Docs site has gaps and you want new articles drafted from resolved conversations. See AI Support Knowledge Agent.
Visitors should find answers on your website before they ever email. See AI FAQ Agent.
You want past conversations scored against a quality rubric, which AI Support QA does.

How it works

  1. Your Help Scout admin and we agree the mapping on a thirty-minute call: conversations, customer profiles and Docs articles to read, and notes to write.
  2. When a teammate opens a conversation, the copilot reads the thread and the customer's profile for context.
  3. It drafts a reply only from your Docs articles, policies and approved documents, written to match the tone of the sample replies you share.
  4. The draft is added as a note in the conversation, with links to the Docs articles it relied on.
  5. The teammate edits and sends it, or writes their own. Customers only ever receive what a person sends.
  6. Account actions are prepared for the teammate to confirm under your approval rules. Fifty test scenarios run on test conversations before launch.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Help Scout OAuth app, set up by your admin.
  • Your Help Scout admin for the thirty-minute mapping call.
  • Your Docs articles, FAQs and policies, and any internal notes on tone.
  • Ten real conversations with the replies your team sent, so drafts match your voice.
  • Approval limits for account actions, and who approves exceptions.
  • Your escalation rules, support hours and test conversations if available.
  • One person who signs off draft style and what the copilot may do.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can shorten the time between opening a conversation and sending a good reply.
  • Helps teammates stay close to your Docs while keeping full control of what is sent.
Response time
Use Help Scout's productivity report to compare the four weeks before launch with the four weeks after.
Replies per resolved conversation
Compare Help Scout's replies-to-resolve figure for the month before and the month after.
Happiness score
Track Help Scout's customer ratings report over the same before and after periods.

Before you start: Export a month of Help Scout productivity and happiness reports. Note the Docs articles your team links most often.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is a one-time cost. Running it costs roughly $50 to $250 a month for AI model usage and hosting in your own accounts, on top of your Help Scout plan. A small team with steady volume tends to sit near the lower end.

Any usage while we test is billed to you as well.

Questions about this product

Does AI Support Copilot for Help Scout draft from our Docs articles?

Yes. Docs articles are part of the two-way sync and form the core of what it drafts from, alongside your policies and any approved documents, up to 100 in total. Each draft links the Docs articles it used, so a teammate can check the source before sending.

Where does the Help Scout copilot put its draft?

In a note inside the conversation, which customers cannot see. The teammate copies the text into the reply, adjusts it and sends. Nothing is emailed to the customer by the copilot. If a draft is not useful, the teammate simply ignores it and replies as normal.

How much of a small team's time does the Help Scout setup take?

Not much. Most of the intake is collecting things you already have: access, Docs, policies and ten sample conversations, sent within the 72-hour window, plus the thirty-minute admin call. After that, expect time to review the drafted test scenarios and to attend the recorded 60-minute handoff.

Does the copilot use the Help Scout customer profile?

Yes. It reads the customer details held in Help Scout, so a draft can greet the person correctly and reflect what you know about them. If account or billing details live in another tool, that tool can be the second connected system, letting drafts quote real figures.

What does the Help Scout copilot cost with express or rush delivery?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. Each includes the documented mapping, fifty conversation scenarios, two rounds of changes and a recorded 60-minute handoff, then 30 days of support.

Can the Help Scout copilot cover more than one mailbox?

The build covers one channel, typically one Help Scout mailbox with its own rules. A second mailbox that shares the same Docs and policies may fit inside the agreed scope; one with different rules needs a Change Quote. Add a checkout note and the answer comes.

Keep the personal replies, lose the retyping.

Order the Help Scout edition and every conversation your team opens carries a draft from your own Docs, ready to adjust and send in your voice.
