AI Project Manager Agent for ClickUp

ClickUp tasks stuck in one status too long are spotted, their owners nudged, and progress summed up for the team on schedule.

In ClickUp, work rarely fails loudly. It sits in review or waiting for a week while everyone assumes it is moving. This agent tracks your ClickUp lists, spots tasks that are overdue or stuck too long in one status, and nudges the owner on the task. Your team gets a progress summary on schedule, and dates or assignees change only with approval.

  • A time limit for each ClickUp status, with owners nudged when exceeded
  • One progress summary across lists, posted where your team talks
  • Date and assignee changes held until your approver agrees

What it is

AI Project Manager Agent for ClickUp tracks the tasks in your ClickUp lists, spots work that is overdue or stuck too long in one status, and nudges the owner with a comment on the task. It posts progress summaries to your team channel, and any change to dates or assignees waits for approval.

Why businesses buy it

Custom statuses make ClickUp flexible, but they also create quiet parking spots where tasks wait for days. Leads end up opening list after list to find what is stuck, and the follow-up depends on who has time. This agent checks every watched list against the limits you set, nudges owners on the task and escalates in your channel when nothing moves. Work keeps flowing and leads stop playing detective. The lists, status limits and what the agent may change are written on the Scope Card before you order.

Problems this solves

ClickUp tasks sit in one status long after work stopped

The agent tracks tasks across your ClickUp lists and spots ones stuck too long in a single status. You agree how long is too long for each status during setup.

Overdue work is only noticed when a client chases it

When a task goes overdue, the agent nudges the owner with a comment on the task. The reminder sits where the work lives, not in a separate inbox.

Progress summaries take hours to compile across many lists

It posts progress summaries to your team channel from the ClickUp data itself. Any change to dates or assignees waits for approval, under rules agreed with you.

A good fit if

Your team runs work through ClickUp lists with custom statuses, and tasks tend to stall in stages like review or waiting.
You want a limit on how long a task may sit in each status, with the owner nudged when it is exceeded.
Leads want one summary of what moved across several lists, posted where the team already talks.
Someone can create a ClickUp API token and set the boundaries for what the agent may change.

Not the right fit if

You need client-ready updates for each client list. See AI Project Status Agent for ClickUp.
One leader needs their inbox and calendar handled, not a team's tasks tracked. See AI Executive Assistant.
Your work is planned on Monday.com boards. See AI Project Manager Agent for Monday.com.
You want more than six workflows, such as a separate rule set for every team. Add a note at checkout for a Change Quote.

How it works

  1. On a 30-minute call with your ClickUp admin, we pick the lists to watch, set a time limit for each custom status, such as two days in review, and agree what the agent may edit.
  2. Each task's due date and time in its current status are tracked. Passing either limit triggers the matching workflow.
  3. The owner is nudged on the task with a ClickUp comment that says what is late and, where known, what it is holding up.
  4. If the task still has not moved by your next checkpoint, the nudge repeats in the team channel to the lead you named.
  5. A progress summary goes to the channel on schedule: tasks closed, tasks stuck by status, and tasks due before the next summary.
  6. Changing a due date, assignee or status on someone's behalf is proposed to your approver first, and written to ClickUp only once approved.

Expected benefits and how to measure them

  • Can keep work moving through statuses instead of stalling
  • Helps owners hear about overdue tasks before clients do
  • Makes progress summaries a regular habit rather than a chore
Tasks stuck beyond your status limit
Filter ClickUp for tasks unchanged in a status beyond your agreed limit. Record the count at launch and monthly.
Overdue tasks in your main lists
Count overdue tasks in your main lists at launch, then at the same point each month.
Time spent writing progress updates
Ask the people who write summaries to note the time before launch and after the first month.

Before you start: Note how many tasks are overdue and how many have sat in one status too long today. Record who writes progress updates and how long they take.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running costs come to roughly $50 to $250 a month for AI model usage and hosting in your own accounts, separate from your ClickUp subscription. ClickUp licenses and plan upgrades are not included.

We bill nothing per task, and AI usage during build and testing also runs through your accounts.

Questions about this product

How does the ClickUp agent know a task is stuck?

You set a time limit for each custom status during setup, for example two days in review. The agent tracks how long each task has been in its current status and how close it is to its due date. Crossing either line triggers a comment to the owner on the ClickUp task.

Which ClickUp records does AI Project Manager Agent for ClickUp read and update?

Tasks, lists and comments, on the field mapping your admin approves. It reads tasks across the watched lists and writes comments to owners. Changing a due date, assignee or status needs your approver unless your rules allow a specific case. Custom ClickUp objects are outside this build.

Where does the ClickUp progress summary appear?

In the one channel on the Scope Card, usually your team's Slack or Teams channel. It lists tasks closed, tasks stuck by status and tasks due before the next summary, drawn from live ClickUp data. You choose the schedule, and adjusting it later fits inside monthly maintenance.

When does the delivery clock start for the ClickUp project manager edition?

The clock starts once your ClickUp token, status limits and approver are verified, which is due within 72 hours of ordering. Standard, express and rush delivery times are shown in the delivery panel before you buy. Agreeing your status limits early, such as how long a task may sit in review, keeps the build moving.

Can the ClickUp agent move a task to another status itself?

Only if your rules say so for that case. By default, status, date and owner changes are proposed to your named approver and written to ClickUp only after a yes. You can start with no automatic changes at all and widen the rules later through monthly maintenance.

How much does the ClickUp agent cost to run each month?

Roughly $50 to $250 a month for AI model usage and hosting in your own accounts, rising with the number of lists watched and workflows active. Your ClickUp subscription is separate. Monthly maintenance is optional and starts after the 30 days of support, covering changes like a new status limit or another list.

Stop work from sitting in review for a week.

Order AI Project Manager Agent for ClickUp and it tracks time in status across your lists, nudges owners on stuck tasks and posts progress to your team, with plan changes approved first.
