AI Meeting Agent for Microsoft Teams

A Teams bot posts each meeting's decisions and action items to the agreed channel, with owners named and unclear items flagged.

Teams channels are where your people work, so that is where meeting outcomes belong. This agent summarizes each meeting's transcript or notes into decisions and action items, and a Teams bot posts them to the channel agreed for that meeting. Owners are named, unclear items are flagged, and owners can reply to the bot to confirm what they have taken on.

  • Meeting decisions posted to each meeting's home Teams channel
  • Owners confirm their items by replying to the bot
  • One Teams app with narrow, admin-approved permissions

What it is

AI Meeting Agent for Microsoft Teams summarizes each meeting's transcript or notes into decisions and action items, then posts them through a Teams bot to the channel agreed for that meeting. A tenant admin installs the Teams app, and owners can reply to the bot to confirm their items.

Why businesses buy it

A recap sent only to the organizer helps one person. Everyone else works from memory, and actions slip between weekly meetings. This agent gives every recurring meeting a visible record in its own channel, so the team sees what was agreed and who owns it. Owners confirm items through the bot, and the organizer stops chasing. IT keeps a single app with narrow permissions instead of broad tenant access. The channels, meetings and layout are agreed on the Scope Card before you order.

Problems this solves

Teams meetings end without a shared record of decisions

The agent summarizes each meeting's transcript or notes into decisions and action items. A Teams bot then posts the summary to the channel agreed for that meeting.

Owners never confirm they have picked up their actions

Owners can reply to the bot to confirm their items. You can see who has accepted their actions without chasing each person separately in chat.

Posting summaries to the right channel depends on one person

Each meeting is mapped to its agreed channel during setup, and the mapping is documented. A tenant admin installs the Teams app, so access stays under your control.

A good fit if

Your team works in Microsoft Teams channels and expects follow-ups to appear there, not in email.
Transcripts or notes come from a meeting or recording tool that can be connected as the one more system.
IT prefers a single Teams app, installed by a tenant admin, over wider Microsoft 365 permissions.
Each recurring meeting, such as a weekly ops review, has a home channel where its record belongs.

Not the right fit if

You also want summaries filed in SharePoint and transcripts read from OneDrive. See AI Meeting Agent for Microsoft 365.
Your team is on Slack. See AI Meeting Agent for Slack.
Staff need IT and internal requests resolved inside Teams. See AI Helpdesk Agent for Microsoft Teams.
One person wants their own notes and to-dos organized, not a team process. See AI Personal Productivity Agent.

How it works

  1. App install. A tenant admin installs the Teams app, and a 30-minute call settles which channels the bot may post in and which meeting belongs to which channel.
  2. Transcript in. The one more system, your meeting or recording tool, hands over the transcript or notes when the meeting finishes.
  3. Summary drafted. The single AI step separates decisions and action items from discussion, using a team list you provide to recognize owners.
  4. Bot post. The summary appears in the agreed channel, decisions first, with each action item beside its owner's name.
  5. Bot interactions. If you include this step, owners reply to the bot or press a button to confirm an item, and the organizer sees which items are still unclaimed.
  6. Safety net. Anything without a clear owner is marked unassigned and raised with the organizer; 20 test runs on your past meetings prove it first.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The Teams app installed by a tenant admin, with any credentials shared securely in the way we agree at intake, never by email.
  • Your Microsoft Teams admin for a 30-minute channel-mapping call.
  • Access to the meeting or recording tool that supplies transcripts or notes.
  • A list of team members, so owners are recognized by name.
  • Five to ten past meetings with transcripts or notes.
  • A contact for errors and unassigned items.
  • Your business basics and one approver for the post format.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can give every Teams meeting a written outcome in the right channel
  • Helps you see which owners have accepted their actions
  • Makes posting summaries independent of any one person
Actions confirmed by owners
Count bot confirmations against items posted, from the bot's history, each week after launch.
Meetings with a channel summary
Compare summaries posted with scheduled Teams meetings each month.
Overdue actions
Sample actions each month and count those past their date. Compare with a sample from before launch.

Before you start: Pick several recent Teams meetings and check whether decisions were written down and shared. Note how owners confirm actions today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid for once. Running costs of roughly $20 to $100 a month for the automation platform and AI usage go to your own accounts and scale with meeting volume. Microsoft Teams licensing stays exactly as it is.

Usage during build and testing is also billed to you.

Questions about this product

What does the meeting agent's Teams app need permission to do?

Read and post in the channels approved during setup and handle bot interactions, nothing broader. A tenant admin installs it and can remove it at any time. Wider Microsoft 365 access, such as SharePoint libraries or Outlook mail, belongs to the Microsoft 365 edition rather than this one, which keeps your permission footprint small.

Can the Teams meeting agent read Teams meeting transcripts directly?

Not in this edition. Its Teams access covers messages in approved channels and bot interactions, so transcripts come from the one more system, such as your recording tool. If your transcripts live in OneDrive or SharePoint, AI Meeting Agent for Microsoft 365 reads them there and files summaries back alongside them.

How do owners confirm their action items in Teams?

By replying to the bot or pressing the button on its message, which the bot records as an interaction. The organizer can then see which items are confirmed and which are still open. This confirmation step is optional and is agreed during the setup call.

Can different meetings post to different Teams channels?

Yes. On the setup call each recurring meeting, or meeting type, is mapped to its own approved channel, for example a weekly ops review to the operations channel. The routing rules count toward the twelve workflow steps, so a long list of meetings is reviewed during intake.

What does the Teams meeting agent build include?

Every build includes the Teams app setup, channel mapping, one workflow, 20 test runs on your own meetings and a recorded forty-five-minute handoff session. Standard, express and rush delivery times are shown in the delivery panel before you buy, and you get the same scope at every pace.

What are the monthly costs for the Teams meeting agent?

About $20 to $100 a month for the automation platform and AI usage, paid in your own accounts. The figure rises with the number of meetings summarized. Microsoft Teams licenses and your recording tool's subscription are billed separately by those providers.
