AI Learning Assistant

One place for learners to get a straight answer about any course in your catalog, sourced only from what you approved.

Learners should not need to email someone to find out what a module covers or where a reading lives. This assistant answers those lookup questions across your whole course catalog, using only the syllabi, readings and FAQs your team signs off on. It is built for quick, accurate answers that span many courses, and it hands anything else to a person.

  • Catalog-wide answers on modules, prerequisites and resources
  • Every answer sourced only from content your team approved
  • Questions outside the catalog handed to a person

What it is

AI Learning Assistant reads across your course catalog and answers a learner's question, what a module covers, a prerequisite, where a resource sits, using only the syllabi, readings and FAQs your team signs off on. It is built for lookup answers spanning many courses, not one course alone, and not guided step-by-step tutoring.

Why businesses buy it

As a catalog grows, learners struggle to find out what each course covers, what they need first and where materials sit. Those questions land on program staff, who answer them one at a time, and learners who cannot find answers quickly drop off. This assistant gives everyone a straight, sourced answer across all your courses, any time of day, so staff time goes to the questions that need a person. It answers only from content you approve. The Scope Card spells out the channel, content limit and five intents before you buy, so you know what it covers.

Problems this solves

Learners cannot tell which course covers the topic they need

The learning assistant reads across your whole course catalog and answers what each module covers. Learners find the right course or module without browsing every syllabus themselves.

Prerequisite confusion leads learners into courses they are not ready for

Learners can ask about prerequisites before enrolling, and answers come from the syllabi your team signs off on. That helps them choose a path that fits their level.

Resources are spread across many courses and hard to locate

The assistant tells learners where a reading or resource sits, across up to a hundred documents or two hundred pages. Support staff handle fewer where-is-it questions as a result.

Learners need help between sessions when no staff are online

The assistant answers lookup questions in your chosen channel whenever learners study. It is built for finding answers, not step-by-step tutoring, and hands off anything beyond its scope.

A good fit if

The same handful of content questions come up across several different courses, so no single course's FAQ page really covers it.
Module outlines, readings and syllabi already sit somewhere structured, a shared drive, Canvas, Moodle or Blackboard, that a new assistant could be pointed at.
Learners should be able to reach it from wherever they already are, a widget on your site, or inside Slack or Teams.
Anything it cannot answer confidently should go to a named staff member instead of being guessed at.

Not the right fit if

The scope is really one course, its own syllabus and schedule, not a catalog. See AI Course Assistant, built for exactly that.
What learners actually need is to be coached through working out an answer, not handed one. See AI Knowledge Tutor.
The volume of questions is mostly about registration status or deadlines rather than what the material covers. See AI Student Support Agent.
Coverage needs to exceed five intents or run on more than one channel simultaneously. Add a checkout note for a Change Quote, or start from our Custom AI enquiry form.

How it works

  1. We pull in module outlines, readings and syllabi from wherever your catalog lives, Canvas, Moodle or Blackboard included, capped at 100 documents or 200 pages total.
  2. Your top 20 FAQ answers sit above that content, so the most-asked questions get the exact wording your team wrote rather than a paraphrase.
  3. A learner types a question, in a widget, Slack or Teams, whichever single channel you picked, in whatever words they use.
  4. It sorts the question into one of up to five defined intents, a content lookup, a prerequisite check, a resource location, then pulls the grounded answer.
  5. If nothing in the approved material actually covers the question, it says so instead of filling the gap with a guess.
  6. Unmatched or out-of-scope questions go straight to whoever you nominated for handoff, forwarded with the learner's original wording intact.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Whatever the assistant should be trained on, module outlines, readings, or a set of URLs across your catalog.
  • A written top-20 FAQ list, in the exact wording you want a learner to see.
  • A place for handoff to land, an inbox or helpdesk queue someone actually monitors.
  • Either admin rights to your website, or a developer on your side to drop in the widget code.
  • Logo and brand colors, so the widget does not look bolted onto your site.
  • Login credentials and API keys for anything we connect to, shared by adding our team as a user or creating a key you control rather than email.
  • A named approver who can sign off on decisions as the build moves forward.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The learning assistant live across your catalog in a website widget, Slack or Microsoft Teams
  • Syllabi, readings and FAQs loaded from up to a hundred documents or two hundred web pages
  • Up to five question intents, plus handoff by email or helpdesk
  • A test report from forty documented questions with pass or fail results
  • An admin guide, the recorded handoff session and 30 days of support

Expected benefits and how to measure them

  • Learners can find the right course material between sessions.
  • Helps reduce enrollment mistakes over prerequisites.
  • Frees support staff from routine catalog lookups.
Catalog lookup questions to staff
Count support emails asking where content sits or what a course covers, before and after launch.
Prerequisite-related transfers
Track course transfers or withdrawals linked to prerequisites, term on term.
Learner use
Count conversations per week from the channel history to see how often learners turn to it.

Before you start: Tally a month of learner support questions by type. Record transfers or withdrawals caused by prerequisite issues last term.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

What you pay us is a one-off fee. What keeps it running afterward runs through your own provider accounts, primarily the AI model calls and hosting, landing somewhere between $30 and $150 a month depending on question volume.

Even the usage generated while we build and test it is billed to your accounts directly, so every provider relationship stays yours from day one. Nothing is routed through us.

Custom requirements

Anything beyond the Scope Card gets a checkout note from you and a written Change Quote back, only starting once you sign off on it. Your original build keeps moving on schedule regardless.

Keep it running

Most AI Learning Assistant customers choose monthly maintenance: monthly change hours plus monitoring and fixes, which covers a typical term's FAQ refresh. Coverage begins once the 30 free support days end, bills monthly, and cancels whenever you like.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does AI Learning Assistant actually cost?

One fixed build price covers it, paid once, and the price and delivery panel on this page lists it for each delivery speed. That includes the Scope Card: one channel, up to 100 documents or 200 web pages across your catalog, five intents plus handoff to your team, testing and a recorded handoff session. Nothing is charged per learner question, and AI usage is billed to your own account.

How soon can we have AI Learning Assistant running?

Delivery time is fixed for each speed and shown in the price and delivery panel on this page, counted from when intake is complete and access is verified. The fastest path is sending your syllabi, reading lists and top learner FAQs during intake. We test the assistant on real catalog questions before launch, so your team checks the answers first.

How does AI Learning Assistant differ from AI Knowledge Tutor?

This one answers a direct question from approved content, what a module covers, where something is located, and stops there. AI Knowledge Tutor instead walks a learner through reasoning out a problem step by step. Pick this one for fast lookups across your catalog, and Knowledge Tutor when the goal is guided practice.

What do we need to hand over to build AI Learning Assistant?

Source content, either the documents themselves or the URLs, up to a combined cap of 100 documents or 200 pages, plus a written list of your top 20 FAQs with the answers you want used verbatim. Any credentials needed to install a widget are shared by adding our team as a user or creating a key you control, never over email, and one approver signs off before launch.

What are the ongoing monthly costs for AI Learning Assistant?

Running costs land in your own accounts, roughly $30 to $150 a month for AI model usage and hosting, with no platform license from us on top. Catalogs fielding a higher volume of learner questions trend toward the top of that range. Monthly maintenance is optional and includes change hours.

Can the content behind AI Learning Assistant be updated after launch?

Yes, two revision rounds are built into the project itself, so most content or FAQ tweaks happen before you ever go live, guided by results from the 40 test questions. Once live, smaller updates draw down the monthly change hours that come with maintenance, while growing past the 100-document cap is handled as a separate quoted add-on.

Will AI Learning Assistant handle a student asking about a registration deadline?

Only if that specific date happens to live inside the content you loaded, it is not built to check live registration status or pull transcript data. For that category of request, AI Student Support Agent is purpose-built around administrative and logistical questions rather than course material itself.

Who keeps the rights to the content and chat history afterward?

You retain all of it. Documents, FAQ answers and every logged conversation stay inside your own hosting and accounts throughout the engagement and beyond, with no separate copy kept on our side. We build, test and validate the logic, deliver an admin guide plus a recorded session, then hand off, aside from 30 days of support included after launch.

Give every learner one place to get a straight answer.

Everything above is locked on the Scope Card before a dollar changes hands.
