AI Invoice Intelligence for Zoho Books

Vendor invoices are read, matched to the right Zoho Books contact and saved as coded bills, with doubtful ones held back.

Zoho Books keeps your accounts tidy, but vendor bills still arrive as emailed PDFs that someone has to key in. Look-alike contacts appear, reporting tags get missed, and bills are sometimes entered after the payment has gone. This build reads each invoice, matches it to your existing Zoho Books contact, checks bills and payments, and saves a coded bill. Doubtful invoices are held back for review.

  • Vendor bills saved in Zoho Books with tags and accounts set
  • Invoices linked to existing contacts instead of new duplicates
  • Bills already paid are caught before they are entered again

What it is

AI Invoice Intelligence for Zoho Books reads vendor invoices from email or an upload folder, checks them against the contacts, bills and payments in your Zoho Books organization, and creates coded bills through a two-way connection using a documented field mapping. Invoices that fail a rule go to a reviewer. Your Zoho Books stays current without manual entry.

Why businesses buy it

Hand entry in Zoho Books keeps your accounts a step behind and invites small errors that add up: duplicate contacts, missing reporting tags and bills recorded after payment. Each one costs time at month end and weakens the reports you rely on. After this build, vendor invoices become coded bills as they arrive, checked against what Zoho Books already holds. Your team works only on real exceptions. The Scope Card sets out the field mapping and rules in writing before you order, so nothing about the setup is left to chance.

Problems this solves

Zoho Books falls behind because vendor bills are entered weekly

Vendor invoices from email or an upload folder become coded bills in Zoho Books as they arrive. Your books stay current without waiting for a weekly data-entry session.

Bills get created for vendors that already have open bills

Each invoice is checked against the contacts, bills and payments in your Zoho Books organization. Invoices that fail a rule go to a reviewer before anything is created.

Manual coding in Zoho Books varies from person to person

Coding follows the documented field mapping and rules agreed during setup. Every bill is coded the same way, whoever is on finance duty that week.

A good fit if

Your accounts live in Zoho Books and vendor bills are entered by hand from emailed PDFs.
Your vendor contacts are already set up in Zoho Books, and you want new invoices attached to them rather than to new look-alike contacts.
You use reporting tags or specific expense accounts and want them chosen by rule on every bill.
Bills sometimes get entered after the payment has already gone out, and you want that caught first.

Not the right fit if

You need approval routing and payment runs for those bills too. See AI Accounts Payable Agent for Zoho Books.
Collecting from customers is the priority. See AI Accounts Receivable Agent for Zoho Books.
You want staff expense reports checked against your policy. See AI Expense Audit for Zoho Books.
Your ledger is in Tally rather than Zoho Books. See AI Invoice Intelligence for Tally.

How it works

  1. Zoho Books is connected. Your admin sets up a Zoho Books OAuth client with us on a 30-minute call, and the organization and field mapping are confirmed in writing.
  2. Each vendor invoice is read. Vendor, bill number, bill and due dates, line items, tax and total, up to 25 fields for each document type.
  3. The vendor contact is matched. Names are compared with your Zoho Books contacts, and anything unclear is queued instead of creating a duplicate contact.
  4. Zoho Books is checked for repeats. Existing bills and recorded payments are read, so a bill already entered or already paid is stopped.
  5. The bill is coded. Expense account, tax and any reporting tags follow the mapping and rules you approved.
  6. Approved bills save to Zoho Books. Exceptions sit in the review queue with the original invoice until a person decides.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Zoho Books admin to create the OAuth client with us and join a 30-minute setup call.
  • At least 20 genuine vendor invoices per document type, redacted where needed.
  • Your chart of accounts, tax settings in use and any reporting tags, with rules for applying them.
  • The fields to extract and the validation rules each bill must pass.
  • A test organization or test records in Zoho Books, if you have them.
  • The reviewer for flagged bills, and admin access and API keys for any second system, never by email.
  • One decision-maker who approves the mapping and the go-live.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can keep Zoho Books up to date day by day.
  • Helps make coding consistent across the team.
Bill entry lag
Compare the average gap between invoice date and bill creation in Zoho Books, before launch and after.
Recoded bills
Count bills whose account was changed after creation, for a month before launch and each month after.
Review queue volume
Track how many invoices go to review each week as rules are tuned.

Before you start: Note how often bills are entered today and how many were recoded last month.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it costs roughly $30 to $200 a month in your own accounts for OCR, AI usage and storage, alongside your existing Zoho Books plan.

AI usage while we build and test is billed to you too, so the Zoho relationship and every provider account stay in your name. It supports bookkeeping work and is not regulated financial, tax or investment advice.

Custom requirements

Several Zoho Books organizations, a fourth document type or a third connected system is outside this Scope Card. Add a note at checkout and a written Change Quote follows.

Keep it running

Monthly maintenance is recommended: monitoring, fixes and monthly change hours for things such as new reporting tags, new vendors or a revised tax mapping. Maintenance starts after the 30 days of support and can stop any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What does AI Invoice Intelligence for Zoho Books read and update in Zoho?

Invoices, bills, contacts and payments, through a two-way connection. For vendor invoices it reads contacts, bills and payments to run its checks, then creates a coded bill. Every field it reads or writes is listed in the documented field mapping you approve before go-live.

Can it apply Zoho Books reporting tags?

Yes, when you give us the rules, such as a tag per vendor, per site named on the invoice or per expense type. Tags are part of the agreed mapping. If an invoice matches no rule, it waits for your reviewer rather than receiving a default tag that skews your reports.

How is Zoho Books access granted?

Through a Zoho Books OAuth client that your admin sets up with us on a 30-minute call. Permissions are limited to what the field mapping needs, no password is ever emailed, and your admin can revoke the client from Zoho at any time without affecting your books.

We have more than one Zoho Books organization. Is that covered?

No, the standard scope connects one organization. If invoices for several organizations arrive in the same inbox and need routing to the right one, describe it at checkout. You will receive a written Change Quote, and nothing extra starts until you accept it.

What comes with the Zoho Books edition?

The Zoho Books connection and a documented field mapping for bills, vendors, accounts and vendor payments. It also includes validation rules, an exceptions queue, an accuracy report on 100 of your own documents, two rounds of changes, a recorded handoff session and 30 days of support. Every limit is written on the Scope Card.

Can we review bills before they reach Zoho Books?

Yes. Any invoice that fails a check or has a low-confidence field waits in the review queue. You can also ask for a rule that holds every invoice above a set amount for review, so large bills always get a person's eyes before they are saved.

Keep Zoho Books current without keying in a single bill.

Order AI Invoice Intelligence for Zoho Books and vendor invoices are matched to your Zoho contacts, checked against bills and payments, and saved as coded bills on a fixed delivery date.
