AI Internal Search for Google Workspace

Type one query and get ranked Drive and Docs results with a cited snippet each, filtered to what you may see.

When a company has dozens of shared drives and personal folders, people waste time working out which copy of a document is current. This search bar indexes your Google Workspace content and returns ranked Drive and Docs results with a short cited snippet each, filtered to what every user may see. Your admin approves the scopes, and Google stays your source of truth.

  • Ranked Drive and Docs results with a snippet from each
  • Finance and HR folders show only for approved groups
  • Admin-approved scopes, with Google kept as source of truth

What it is

AI Internal Search for Google Workspace is a search bar over your Google Workspace content that returns ranked results with a short cited snippet from each. With admin OAuth consent, it indexes Drive files and Docs, plus Gmail and Calendar data if those scopes are approved, for up to 50 users. Results respect your permission groups.

Why businesses buy it

Google Drive search works well for one person's files, and less well for a company's shared drives, where five similar copies compete and the newest one is hard to spot. Staff lose time, and old versions get reused. This edition ranks results across your approved drives with a cited snippet, so people choose the right file quickly and sensitive folders stay with the right groups. The Scope Card fixes the scopes, document volume, permission groups and benchmark queries before you order, so your Google Workspace admin approves a known connection.

Problems this solves

Shared drives grow so large that the right Doc is hard to find

The search indexes Drive files and Docs under your admin's OAuth consent. Results are ranked with a cited snippet, so people can spot the right version without opening several copies.

Key details sit in Gmail threads and Calendar invites, not Docs

If your admin approves those scopes, Gmail and Calendar data can be indexed alongside Drive. One search then covers files, email context and meeting details for up to 50 users.

Your Workspace admin needs to know exactly what a tool can read

The documented field mapping lists which Google Workspace data is read and updated. Results respect up to three permission groups, and access stays with invites or keys you control.

Some important files live outside Google Workspace

One more system can be connected alongside Google Workspace, such as a CRM or project tool. Its content appears in the same ranked list, with the same cited snippets.

A good fit if

Your files sit across many shared drives and personal folders, and people lose time working out which copy of a document is current.
People want to see several candidate documents and choose, rather than read one generated answer.
Some content, such as finance or HR folders, must only show up for certain groups, and three permission groups cover it.
A Google Workspace admin can grant OAuth consent for the scopes you approve and join a 30-minute setup call.

Not the right fit if

You want one cited answer to a question rather than a ranked list. See AI Company Knowledge Hub for Google Workspace.
Your documents live mainly in SharePoint and OneDrive. See AI Internal Search for Microsoft 365.
Your team wants to ask questions in Slack and have a bot answer and run actions. See AI Slack Bot for Google Workspace.
Your Drive is too disorganized to index usefully yet. See AI Knowledge Base Builder, which structures scattered material first.

How it works

  1. Consent and scope. A Google Workspace admin grants OAuth consent, and on a 30-minute call we agree which shared drives and folders are indexed, and whether Gmail or Calendar data is in scope at all.
  2. Indexing. Up to 2,000 documents, about 10,000 pages, are embedded from Google Workspace and up to 1 more system, each tagged to one of up to 3 permission groups.
  3. Searching. A user types a query into the one interface you chose: a web app, Slack or Microsoft Teams.
  4. Ranking. Matches from Drive, Docs and any approved sources are ranked together by meaning, each with a short cited snippet and a link to open the file.
  5. Filtering. Results outside the searcher's permission group never appear, so a finance folder stays out of a sales rep's results.
  6. Keeping current. A monthly refresh picks up new and edited Google Workspace files, and 60 benchmark queries are scored in an accuracy report before launch.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Google Workspace OAuth consent granted by an admin for the agreed scopes, with any credentials shared securely in the way we agree at intake, never by email.
  • Your Google Workspace admin for a 30-minute scoping call.
  • The shared drives and folders to index, and a decision on whether Gmail or Calendar should be included.
  • Your user list and the permission groups results must respect.
  • Thirty real search queries, each with the documents you expect to see.
  • Admin access for sign-in on your chosen interface.
  • Your business basics and one decision-maker who approves the permission groups.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can make shared drives easier to navigate as they keep growing.
  • Helps people find the right file and its context in one place.
Time to find a shared Doc
Time five common lookups using Drive search before launch, then the same lookups in the new search.
Requests for file links
Count 'can you send me the link' emails or chats over four weeks before launch and four weeks after.
Benchmark accuracy
Compare the launch accuracy report with a re-run of the benchmark questions after the first monthly refresh.

Before you start: Note which shared drives matter most and which scopes your admin is willing to approve. Time a handful of typical searches today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running costs of roughly $50 to $300 a month, for AI model usage, the vector database and hosting, are billed to your own accounts and move with document volume and daily searches. Your Google Workspace licenses are separate and unchanged.

Usage during build and testing is billed to your accounts as well.

Keep it running

Monthly maintenance is recommended for this edition: monitoring, fixes and monthly change hours for things such as adding a shared drive, revising permission groups or tuning ranking after a refresh. Maintenance starts after the 30 days of support and can be cancelled any month.

$495/mo (5% of the build price a month, includes 4 change hours)

Questions about this product

Does Internal Search for Google Workspace include Gmail?

Only if you approve it. Drive files and Docs are the usual core, and Gmail and Calendar data are indexed only when your admin approves those scopes at consent. Plenty of teams leave email out entirely. Whatever you include counts toward the 2,000-document limit and sits behind your permission groups.

Why add Internal Search when Google Workspace already has search?

Because it ranks by meaning across Drive, Docs and one more system at once, and shows a cited snippet so people can judge a result before opening it. It also applies your own permission groups. If your team only ever searches one shared drive, the built-in search may be enough.

Which interface do Google Workspace users search from?

One of three, chosen at intake: a web app, Slack or Microsoft Teams. The web app needs no other tool, while Slack or Teams suits a team that already works there all day. A second interface is outside this Scope Card and is priced as a Change Quote.

How do search permission groups relate to our Google Workspace drives?

During the scoping call each indexed drive or folder is assigned to one of up to 3 permission groups, such as everyone, managers and finance. Users see results only from the groups they belong to, so anything sensitive should sit in a restricted group from the start.

When can Internal Search for Google Workspace go live?

Delivery runs on a fixed schedule from a complete intake, and the delivery panel shows that date plus express and rush options before you order. The clock starts once admin consent, the drive list, permission groups and your 30 sample queries are all in place, so book your admin's time early.

What does Internal Search cost to run alongside Google Workspace?

Roughly $50 to $300 a month in your own accounts for AI model usage, the vector database and hosting. The figure rises with documents indexed and daily searches by your up to 50 users. Google Workspace licenses are billed by Google as usual and are not part of this build.
