AI Internal Search for Confluence

Ranked Confluence results with a cited snippet each, so people spot the right page before opening it.

In most Confluence instances the same topic has several pages of different ages, and search makes people guess which one is current. This edition ranks results across the spaces you choose and shows a cited snippet from each page, so people spot the right one before opening it. It connects through an Atlassian API token or OAuth app, and personal or archived spaces stay out.

  • Better-ranked Confluence results with a snippet on each
  • Personal and archived spaces left out of search
  • One more source searchable alongside Confluence

What it is

AI Internal Search for Confluence is a ranked search over the Confluence spaces you choose, returning pages with a short cited snippet so people can judge each result before opening it. It connects through an Atlassian API token or OAuth app, with one more system searchable alongside. Restricted spaces stay restricted.

Why businesses buy it

Engineers, support and operations staff search Confluence many times a day. When the ranking is poor, every search costs a few minutes and sometimes ends with an outdated page being followed. This edition ranks pages from your chosen spaces with a cited snippet, so the maintained page rises to the top and fewer mistakes start from old instructions. The Scope Card fixes the spaces, the extra source, permission groups and benchmark queries before you order, so your Confluence admin approves a defined, limited connection.

Problems this solves

Outdated Confluence pages crowd out the current version in search

Search ranks pages from the spaces you choose and shows a short cited snippet for each. People can judge which page is current before opening it.

Different teams search different spaces for the same answer

One ranked search spans every chosen space, plus one more connected system. Teams can find each other's documented answers without knowing where they were filed.

Restricted spaces must stay restricted in any new tool

Restricted spaces stay restricted, and up to three permission groups apply on top. The connection uses an Atlassian API token or OAuth app that you own.

A good fit if

Your documentation sits in Confluence across many spaces, and the same topic often has several pages of different ages.
Engineers, support or operations staff search Confluence many times a day and want better-ranked results.
You want to choose which spaces are searchable, leaving personal or archived spaces out.
A Confluence admin can issue an Atlassian API token or set up an OAuth app and join a 30-minute call.

Not the right fit if

You want a written, cited answer instead of a list of pages. See AI Company Knowledge Hub for Confluence.
Staff want to ask questions in plain language and get cited answers from Confluence, as an assistant rather than a search bar. See AI Knowledge Agent for Confluence.
Your content mostly lives in Notion. See AI Internal Search for Notion.
You need to find what your documentation fails to cover. See AI Knowledge Gap Finder.

How it works

  1. Access. Your Confluence admin issues an Atlassian API token or registers an OAuth app, and on a 30-minute call we agree which spaces are indexed.
  2. Mapping. The documented field mapping records the spaces and pages in scope and assigns each space to one of up to 3 permission groups.
  3. Indexing. Up to 2,000 documents, Confluence pages plus one more system such as Google Drive, are embedded so they can be matched by meaning.
  4. Querying. People search from a web app, Slack or Microsoft Teams, whichever single interface you picked, for up to 50 users.
  5. Results. Each ranked result shows the page, its space and a cited snippet, so an old draft and the current runbook are easy to tell apart.
  6. Upkeep. A monthly refresh reads new and edited pages, and 60 benchmark queries with an accuracy report are run before go-live.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • An Atlassian API token or OAuth app for Confluence, set up by your admin and shared securely in the way we agree at intake, never by email.
  • Your Confluence admin for a 30-minute call on spaces and mapping.
  • The list of spaces to include, and any to keep out.
  • Access to the one other system, if you want it searched too.
  • Your user list, permission groups and 30 sample searches with the pages you expect.
  • Admin access for sign-in on the chosen interface.
  • Your business basics and one decision-maker who approves the groups.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can help people land on the current page first, not an old copy.
  • Makes knowledge written by one team easier for others to use.
Time to find the right page
Time ten common lookups using Confluence search before launch, then the same lookups in the new search.
Repeated questions in chat
Count questions answered by an existing Confluence page that still get asked in chat, four weeks before and after.
Benchmark accuracy
Compare the launch accuracy report with a re-run of the benchmark after a monthly refresh.

Before you start: List the Confluence spaces in scope and their owners. Time a few searches your staff run often today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it costs roughly $50 to $300 a month in your own accounts for AI model usage, the vector database and hosting, depending on pages indexed and searches made. Your Atlassian subscription is unchanged.

Usage during build and testing is billed to your accounts too.

Custom requirements

Spaces beyond the 2,000-document limit, a second interface, more than 50 users or custom Confluence objects outside the mapping need a written Change Quote, returned.

Keep it running

Monthly maintenance is recommended: monitoring, fixes and monthly change hours, enough to add a new space, retire an archived one or adjust permission groups. Maintenance starts after the 30 days of support and can be cancelled any month.

$495/mo (5% of the build price a month, includes 4 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can we leave some Confluence spaces out of search?

Yes. Only the spaces listed in the field mapping are indexed, so personal, archived or sensitive spaces stay out unless you add them. Adding a space later is a maintenance change if it fits within the 2,000-document limit, or a Change Quote if it does not.

Does Confluence search connect with an API token or OAuth?

Either. Your admin chooses an Atlassian API token or an OAuth app at intake and shares the details securely in the way we agree, never by email. The 30-minute setup call confirms what that access covers. Revoking the token or app in Atlassian ends access straight away.

Can Google Drive files appear alongside Confluence pages in search?

Yes, if Google Drive is the one more system you choose. Its files are indexed with your Confluence pages and ranked in the same list, each with a cited snippet. Drive then takes the second slot on the Scope Card, so a third source would need a Change Quote.

How does Confluence search handle old and duplicate pages?

It ranks them alongside current ones and shows a cited snippet for each, so the searcher can see which page says what before opening it. It does not delete or archive anything in Confluence. If outdated pages are the bigger problem, AI Knowledge Base Builder restructures content first.

What comes with Internal Search for Confluence at every delivery speed?

Every delivery option includes the Atlassian connection, indexing of your chosen spaces, permission groups, 60 benchmark queries and a recorded handoff session. Only the date changes. The delivery panel shows the standard date and the faster express and rush options, each priced, before you order.

What is the monthly cost of running Confluence search?

Roughly $50 to $300 a month in your own accounts, covering AI model usage, the vector database and hosting. Larger spaces and heavier daily searching push it toward the top of that range. Atlassian keeps billing your Confluence plan directly, and nothing changes there.
