AI Governance System
Policy, risk tracking and audit sit in one governance system, with ownership, approvals and reviews set up across the organization.
Most organizations adopt AI faster than they can govern it, with tools appearing in every team and no single owner. This system sets up the whole structure in one build: a register of every AI system with an owner and risk level, approval and review workflows, policy checks and an audit trail. It runs inside the tools you already use, and every record stays yours.
- One register of AI systems, owners and risk levels
- Approval and review workflows routed to named owners
- Policy, risk and audit records kept in one connected place

What it is
AI Governance System sets up AI policies, ownership, approvals and reviews across your organization in one build, bringing together a system register, a risk process and an audit trail rather than three separate projects. It lives in tools you already use, such as Jira, Notion or Confluence, so nothing new needs learning.
Why businesses buy it
Without governance, AI decisions get made in a dozen places and recorded in none. When a board member, regulator or large customer asks what AI you use and who approved it, someone spends weeks rebuilding the answer. Buying policy, risk and audit as separate projects means separate handoffs that rarely fit together. This system sets them up as one connected structure in your own tools. The written scope lists the systems and controls covered, so leadership knows what it is getting.
Problems this solves
Nobody owns AI decisions, so tools get adopted without review
The system sets named owners, an approval workflow and review dates inside tools you already use, such as Jira, Notion or Confluence. Every new AI request follows one route.
Register, risk process and audit trail run as separate projects
This build brings a system register, a risk process and an audit trail together in one setup. Information entered once shows up wherever each part needs it.
AI policies exist on paper but not in daily work
Your policies, up to twenty documents, become up to five controls that run in your existing tools. Staff meet governance steps where they already work, not in a separate system.
Leadership asks for AI governance status and waits days
Status comes from one admin console or written report. It shows what is registered, what is approved, and what is due for review. Nobody has to stitch the picture together by hand.

How it works
- We map what you have today. Current AI tools and vendors, existing policies in Confluence or Notion, and who already owns AI decisions across the business.
- A central register is built. Every AI system in scope gets an owner, a risk level and a policy reference, held in one place instead of scattered documents.
- Approval and review workflows are configured. New AI use requests route to the right owner in Jira or an inbox you choose, with a review cycle attached.
- Risk and audit run alongside policy, not after it. Each system in the register carries its risk rating and a record of decisions, kept together.
- Everything surfaces where your team already works. Status and flags reach Slack, Google Workspace or Microsoft 365, so governance is not a separate destination nobody opens.
- A control test log and findings report close out the build. Confirming the register, approvals and reviews all work against your agreed scenarios before handoff.
What you provide within 72 hours
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
- Your business information (company basics, hours and brand voice), shared during intake, or confirmation we can reuse what you gave us on an earlier order.
- Your current list of AI tools, models and vendors in active use.
- Any internal AI or data policies you already have, even in draft form.
- A governance owner who can make decisions on ownership and risk levels during the build.
- Written authorization for any testing, plus cloud or log access the register needs.
- Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
- One decision-maker who signs off the register, the approval flow and the review cycle.

What you receive at handover
- AI Governance System configured in your existing tools, covering up to three systems or AI applications
- A system register, risk process and audit trail, with named owners and approval steps
- Up to five controls built from your policies, plus workflow, prompt and guardrail configuration
- A test report with a control test log for the agreed scenarios
- An admin guide and a recorded 60-minute handoff session
- 30 days of post-launch support
Expected benefits and how to measure them
- Can give leadership a clear view of AI use without a separate project for each part.
- Helps new AI tools get reviewed before they spread across teams.
- Makes it easier to answer client and auditor questions about AI oversight.
- AI systems in the register
- Count register entries at launch and again each quarter. Compare with what team leads say they use.
- Approval turnaround
- Take request and decision timestamps from the workflow. Compare with how long approvals took before launch.
- Overdue reviews
- Count registered systems past their review date each month.
Before you start: List the AI tools in use and who, if anyone, approved each. Note how a new AI request is handled today and how long it takes.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
Running costs
The build price is one-time. Running the register and its workflows afterwards costs roughly $20 to $300 a month in your own accounts, mostly hosting and the connected tools already in your stack rather than a new platform fee.
AI usage during build and testing bills to your own accounts too, so you own every provider relationship the system touches. Nothing routes through us.

Need governance across more than three systems, or a sixth control beyond the five in scope? Add a note at checkout and you get a written Change Quote, while your original order keeps its normal timeline. Larger or bespoke projects use the Custom AI request form instead.

For AI Governance System, monthly maintenance covers monitoring, fixes and change hours, enough to add a new system to the register or adjust an approval flow as the organization changes. It starts after the 30 days of support and bills monthly.
$595/mo (5% of the build price a month, includes 5 change hours)
Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product
How much does AI Governance System cost?
It is one fixed build price that covers everything on the Scope Card: the register, approval and review workflows, policy checks and the audit trail, plus testing, an admin guide and a recorded handoff. You see that figure, at each delivery speed, in the price panel on this page before you order. Anything beyond the Scope Card is quoted separately and only starts once you accept it.
What does it cost to run AI Governance System each month?
Running it costs roughly $20 to $300 a month in your own accounts, mostly hosting and the connected tools you already use, such as Google Workspace, Microsoft 365 or Jira. There is no separate platform license on top of that figure. You keep every provider account in your own name, and the exact cost depends on how many systems you connect.
How is AI Governance System different from buying the narrower products separately?
AI Governance System covers the same ground as AI Usage Policy System, AI Risk Assessment and AI Audit Trail, but built as one connected register instead of three separate builds with three separate handoffs. Smaller organizations often start narrow and grow into it.
What happens when AI Governance System flags a risk?
A flagged risk is logged against the AI system it belongs to, with its risk level and the policy it relates to, then routed to the owner you assigned during setup for a decision. The system tracks and surfaces the flag; it does not approve or block anything on its own, because that judgment stays with your named governance owner and leadership.
Can we add more AI systems to the register later?
Yes. Adding a new AI system to the register, adjusting a risk level or refreshing a policy reference usually fits inside the monthly change hours included with maintenance. Your governance owner can also add simple entries directly, since the register lives in your own tools. Connecting a fourth source system, or adding controls beyond the five in scope, comes through a Change Quote agreed before work starts.
Can we cancel AI Governance System maintenance later?
Yes. Maintenance runs month to month with no lock-in, so you can cancel any month once the 30 days of included support ends. Unused hours do not carry over. Larger work, such as adding controls beyond the five in scope, goes through a Change Quote.
Who owns the governance register once it is live?
You do. The register, approvals and audit records live inside your own connected systems, such as Notion, Confluence or Jira, not a platform we control. We build the structure and hand it over with an admin guide and a recorded session, but every entry, owner assignment and review decision stays yours to edit at any time.
Put policy, risk and audit in one place, not three.
Order AI Governance System and your policies, register and approvals are live on a fixed delivery date.
