AI Employee Onboarding for Microsoft 365

New starters get their SharePoint pages, OneDrive files, Outlook invites and a Teams welcome prepared before their first login.

In Microsoft 365 companies, onboarding material often sits on a SharePoint site that new starters cannot find, and managers forget to book the first-week meetings. This workflow fixes both. For each new hire it shares the right SharePoint and OneDrive files, books Outlook meetings, posts a welcome in the right Teams channel and drafts a personal note. It uses only the Graph permissions your IT team approves.

  • SharePoint and OneDrive onboarding files shared with every new starter
  • First-week Outlook meetings booked and a Teams welcome posted
  • Runs through a scoped Azure app registration your IT team controls

What it is

AI Employee Onboarding for Microsoft 365 sets up a new hire's first week across SharePoint, OneDrive, Outlook and Teams: sharing onboarding files, booking first-week meetings, posting a welcome in the team channel and drafting a role-specific message. It connects through Microsoft Graph within approved permissions, so your IT team stays in control.

Why businesses buy it

First impressions in a new job are made in the first hour of logging in. If the files are missing and nobody has said hello in Teams, the welcome falls flat, and managers lose time patching gaps. This edition prepares everything across SharePoint, OneDrive, Outlook and Teams before day one, the same way for every hire, through a narrow app registration that IT can audit. The Scope Card spells out the Graph permissions, the files, the meetings and the Teams channel before you buy, so security and HR both know what they are approving.

Problems this solves

Onboarding files sit in SharePoint where new hires cannot find them

The workflow shares your onboarding files from SharePoint or OneDrive with each new hire. They have the right documents from the start, without asking around.

New hires join Teams with no introduction to colleagues

A welcome is posted in the team channel as part of the workflow. Colleagues know who is joining, and the new hire feels expected on day one.

Booking first-week meetings in Outlook is left to busy managers

First-week meetings are booked in Outlook by the workflow. Managers check the plan rather than building it, and a role-specific message is drafted for the new hire too.

IT needs control over what any onboarding tool can touch

The connection uses Microsoft Graph within the permissions IT approves. Access is set up through invites or keys you control, and the mapping is documented.

A good fit if

Your organization works in Microsoft 365, and onboarding material sits on a SharePoint site that new hires struggle to find.
Managers want first-week meetings booked in Outlook and a welcome posted in the right Teams channel without doing it themselves.
Your IT team prefers an Azure app registration with specific Graph permissions over broad tenant-wide tools.
An Azure or Microsoft 365 admin can register the app, grant consent and join a 30-minute call.

Not the right fit if

BambooHR is where onboarding tasks should be assigned and tracked. See AI Employee Onboarding for BambooHR.
Your organization uses Google Workspace. See AI Employee Onboarding for Google Workspace.
New hires need answers searched from SharePoint and OneDrive content. See AI Knowledge Agent for Microsoft 365.
You want Teams and Outlook meetings summarized with actions. See AI Meeting Agent for Microsoft 365.

How it works

  1. Your admin registers an Azure app with the Microsoft Graph permissions we list and grants consent; a 30-minute call fixes which SharePoint sites, OneDrive folders, mailboxes and Teams channels are in scope.
  2. A confirmed hire in the one extra system in scope, such as your HR platform, starts the workflow with name, role, manager and start date.
  3. Onboarding files are copied from your SharePoint library into a OneDrive folder for the new hire and shared with the manager and buddy.
  4. First-week meetings are created in Outlook for the hire, manager and buddy, following your schedule rules and working hours.
  5. A welcome post goes to the team's Teams channel on the start date, and the AI step drafts a role-specific message from the manager for review.
  6. If a step fails, such as a channel that has been renamed, the person you named gets an alert with the details.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • An Azure app registration with the Microsoft Graph permissions we list, set up by your admin and shared securely, never by email.
  • Your Microsoft 365 admin for a 30-minute call on sites, folders, mailboxes and channels in scope.
  • The SharePoint library holding onboarding files, and which files each role should receive.
  • First-week schedule rules and the Teams channel for each team or department.
  • Access to the one extra system that confirms hires, plus five to ten sample hires.
  • HR policies and role descriptions, the alert recipient and one decision-maker.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can make a new hire's first week ready before they arrive
  • Helps new hires feel welcomed by the team on day one
  • Makes it easier for IT to keep permissions tight
New hires with files and meetings ready on day one
On each first morning, check file access and Outlook meetings, and compare with hires before launch.
Manager time on first-week setup
Ask managers to estimate time spent preparing a first week, before and after launch.
New hire first-week feedback
Ask new hires a short question about their first week, and compare answers before and after launch.

Before you start: Ask recent hires and their managers how the first week went and what was missing. Note the time managers spent preparing it.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it afterwards costs roughly $20 to $100 a month for the automation platform and AI usage, billed in your own accounts. Microsoft 365 licenses are billed by Microsoft as they are now.

Usage during the build and testing is billed to you directly, so the Azure app registration stays in your tenant and under your control.

Questions about this product

Why does the Microsoft 365 onboarding edition cost more than the core build?

Because the Microsoft Graph connection spans four services, SharePoint, OneDrive, Outlook and Teams, each with its own permissions to register, approve and test. That extra setup and testing is reflected in one fixed price shown before you buy, with express and rush delivery available if you need it sooner.

Which Microsoft Graph permissions does the onboarding app need?

Only those required for the steps you approve, such as file access on named SharePoint sites, calendar access for meeting creation and permission to post in chosen Teams channels. Your admin registers the Azure app and grants consent, and the list is recorded in the mapping document.

Does the Microsoft 365 workflow create the new hire's account?

No. Creating Entra ID accounts and assigning licenses is not part of this build, so your IT team still does that. The workflow prepares what surrounds the account: shared files, Outlook meetings and the Teams welcome. Account creation can be added through a Change Quote.

Can the Teams welcome post go to different channels per department?

Yes. Each department or team is mapped to its Teams channel at intake, and the welcome is posted to the right one on the start date. If a channel is renamed or archived later, the failed post raises an alert so it can be remapped.

Are first-week Outlook meetings booked inside working hours?

Yes. Meetings follow the schedule rules you set, including working hours and which days to avoid, and are created on the new hire's, manager's and buddy's calendars. If a slot clashes with something already booked, the next allowed slot is used and noted for the manager.

Where do the new starter's onboarding files come from?

From the SharePoint library you name. Files for the hire's role are copied into a OneDrive folder and shared with the manager and buddy, so the originals in SharePoint stay untouched. Which files each role receives is agreed at intake and tested in the twenty runs.
