AI Email Drafting Agent

Every inbound email gets a ready-to-send reply in your voice, waiting for a person to approve it.

Your team answers the same kinds of emails every day, and each reply still starts from a blank page. This agent reads every message that lands in your inbox and writes a reply in your tone, using your brand guidelines and the past replies you are proud of. A person reviews and sends every draft, so customers always get a human-approved answer.

  • A ready reply in your voice for every inbound email
  • Every draft approved by a person before it is sent
  • Faster, more consistent responses without hiring extra staff

What it is

AI Email Drafting Agent reads each message that lands in your inbox and writes a reply in your tone, using your brand guidelines and past examples. A person reviews and sends every draft; nothing goes out on its own. Over time your team spends minutes approving replies instead of writing them.

Why businesses buy it

Slow or uneven email replies cost sales and goodwill, but writing every answer by hand ties up your best people. Customers notice when one reply is warm and the next is curt. This agent gives your team a strong first draft for every message, in a consistent voice, so replies go out faster and sound like your business. Because a person approves each one, you keep full control of what customers read. The inbox, formats and review rules are written on the Scope Card before you order.

Problems this solves

Writing routine replies eats hours across the team each week

The agent reads each incoming message and writes a draft reply in your tone. Your team reviews and sends, spending time approving instead of writing from scratch.

Replies sound different depending on who wrote them

Drafts follow your tone-of-voice notes and up to 20 example replies you provide. Customers hear a consistent voice, checked against sample drafts you approved.

Fear that AI will email customers without anyone checking

A person reviews and sends every draft; nothing goes out on its own. The drafts appear in your inbox, ready to edit, send or discard as you see fit.

A good fit if

Your team answers the same kinds of emails every day, such as order questions, booking requests or general enquiries.
You already have a tone of voice and some past replies you are happy with, so the agent has real examples to learn from.
You want every reply checked by a person before it reaches a customer, not sent automatically.
One inbox or shared mailbox handles most of the volume you want help with.

Not the right fit if

You need outbound prospecting emails written for cold contacts, not replies to people who already wrote to you. See AI Cold Email Personalization.
You want a system that also assigns follow-up tasks to your team, not just drafts a reply. See AI Delegation Agent.
You need replies sent automatically without review. That changes the approval model and is handled as a custom build, quoted separately.
You need more than one mailbox or more than three reply types. Add a note at checkout and we quote the extra scope, or start from a custom build.
You want the whole inbox triaged, your calendar managed and follow-ups chased. See AI Executive Assistant, or AI Personal Productivity Agent for one person's day.

How it works

  1. A new email arrives in the connected inbox and the agent reads its content, the sender, and any earlier messages in the thread.
  2. It checks your tone-of-voice notes and example replies, so the reply sounds like something your team would actually write.
  3. It drafts a reply that answers the question in the message, using only the tone and facts you have approved.
  4. The draft is placed where your approver already works, such as the inbox itself or a review queue, never sent on its own.
  5. Your approver edits or sends the draft. Anything they change is a signal we can fold into the next round of tuning.
  6. Every draft, edit and send is logged, so you can see what the agent wrote and what a person changed.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Your tone-of-voice notes or brand guidelines, if you have them.
  • Ten to twenty real emails you have sent that show the tone we should match.
  • Admin access to the one Gmail or Outlook mailbox the drafts should be saved in.
  • The topics or product list the agent should be ready to answer on day one.
  • The name of the person who will approve and send the drafts.
  • Admin access and API keys for the connected inbox, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One person who can make final calls on tone and scope.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can cut the time your team spends writing routine replies
  • Helps every reply sound like your business
  • Makes faster replies possible without losing human review
Average time to first reply
Use your email or helpdesk reports to compare response times for the month before launch and the month after.
Drafts sent with light or no edits
Ask reviewers to tick a simple tally for each draft: sent as is, edited, or rewritten.
Team time spent writing email
Ask the team to estimate weekly writing time before launch and again after a month.

Before you start: Pull your average response time from the last month and estimate weekly time spent writing replies. Save a few typical replies for tone comparison.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $20 to $150 a month in AI model and drafting usage, billed to your own account, and where you land in that range depends mostly on how many emails the agent drafts each month.

AI usage during the build and testing is billed the same way, in your own account, so you keep ownership of the provider relationship from day one.

Custom requirements

Add a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.

Keep it running

Optional monthly maintenance covers monitoring, fixes and small changes such as new tone examples or an updated topic list, with change hours that scale with the build. It starts after the thirty days of post-launch support and can be cancelled any month.

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does it ever send an email without a person approving it?

No. Every draft waits in your inbox or review queue until your approver reads and sends it. The agent never has send access of its own, so nothing reaches a customer without a person checking it first, however routine the message looks.

How long does it take to sound like our team?

Most of the tone comes from the ten to twenty reference examples you provide during intake, so drafts read close to your voice from the first batch it produces. The twenty-five sample drafts before launch give you a further chance to correct anything that still feels slightly off.

What does it cost to run each month?

Roughly $20 to $150 a month in AI usage, billed to your own account, depending on how many emails it drafts each month. There is no per-seat fee charged by us on top of that. Monthly maintenance is optional and covers small changes like new tone examples.

Can it draft replies for more than one shared inbox at once?

This build covers one destination inbox, chosen during setup. A second inbox or mailbox is available as an add-on we quote separately, since it usually needs its own tone check, its own reference examples and its own approval routing to stay accurate for that mailbox.

What happens if a message covers a topic we didn't give it examples for?

It drafts its best attempt using your brand guidelines and existing reference examples, but flags the reply as lower confidence so your approver knows to read it more closely before sending. It never invents facts about pricing, policy or availability that it was not given.

How much of our team's time does the seventy-two-hour intake take?

Expect to spend one to two hours gathering brand guidelines, reference replies and inbox access during that window after ordering. After that, reviewing the twenty-five sample drafts before launch is the main remaining time commitment your approver needs to set aside.

Can we update the tone or topic list once it's already live?

Yes. Small updates, such as new reference examples or a revised topic list, fit inside the monthly change hours once you're on maintenance. A bigger change, like adding a second inbox entirely, goes through a written Change Quote first. Maintenance is optional, starts after post-launch support, and its change hours scale with the build.

Is this a smaller version of AI Executive Assistant?

Yes, it is the entry point. AI Email Drafting Agent only drafts replies in one mailbox for a person to approve. AI Personal Productivity Agent adds a daily plan and a personal task list. AI Executive Assistant adds inbox triage, calendar management, briefings and follow-ups for a leader. You can move up later, and your intake details are reused.

Stop starting every reply from a blank page.

Order the AI Email Drafting Agent and every inbound email gets a reply drafted in your voice, ready for your team to approve and send. The review rules are agreed in writing first.
