AI receptionist for small business: calls, bookings and handoffs
What an AI receptionist does on a real call, the rules that apply, a sample greeting and a pass/fail checklist to launch one safely.
Zendesk tickets answered from your own help center and macros, with the rest assigned to the right group, fully noted.
Zendesk views fill up with the same password, order and how-to tickets every day. This edition works inside your Zendesk account, answers routine tickets from your help center articles and macros, and updates ticket fields within your rules. Anything it should not handle is assigned to the right group with an internal note, so agents pick it up with the context they need.

AI Customer Support Agent for Zendesk works inside your Zendesk account, reading tickets, requester details, macros and help center articles, replying to routine questions and updating ticket fields within your rules. Anything it cannot resolve is assigned onward with an internal note. It runs on your own account.
Most Zendesk teams have already written the answers, in help center articles and macros, yet agents still apply them by hand, one ticket at a time. Queues grow, response times slip and good agents burn out on repetitive work. This edition applies your existing content automatically and keeps tickets tidy, so your team focuses on the conversations that need judgment. The scope names the groups, fields, macros and handoff rules before you order, and everything runs in your own Zendesk account.
The agent reads each ticket, the requester details and your macros, then replies to routine questions inside Zendesk. Your agents open fewer tickets that only needed a standard answer.
Within your rules, the agent updates the agreed ticket fields as it works. The field mapping is documented, so your Zendesk views and reports draw on cleaner data.
Replies are drawn from your Zendesk help center articles and up to 100 approved documents. Customers get the relevant answer in the ticket, and anything unresolved is assigned onward with an internal note.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $6,900 |
| Express | 15–25 working days | $7,950 |
| Rush | 10–20 working days | $8,950 |
Before you start: Save a Zendesk Explore snapshot of ticket volume, first reply time and field completeness for the month before work starts.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is paid once. Running it costs roughly $50 to $250 a month in your own accounts for AI model usage and hosting, on top of your existing Zendesk plan. Extra Zendesk seats or plan upgrades are outside this build.
Usage while building and testing is billed to your accounts too.
Ask about running costsCustom ticket objects, fields outside the agreed mapping, a second channel or a third connected system go through a Change Quote. Add a note at checkout and the written quote follows. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionAfter launch, monthly maintenance keeps the agent in step with your Zendesk setup. It covers monitoring, fixes, updates, a health report and change hours for things such as new macros, updated articles or new Zendesk groups. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.
$345/mo (5% of the build price a month, includes 3 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A helpdesk AI add-on bills per automated resolution | An outsourced team bills per agent each month | Ours is one fixed price, shown on this page before you buy |
| Uses your macros | Often writes fresh replies each time | Depends on agent training | Ours applies your existing Zendesk macros |
| Ticket hygiene | May leave fields and tags for agents to fix | An agency build depends on what was agreed | Ours sets fields, tags and status inside your rules |
| Delivery | Switches on quickly but needs tuning | An agency usually takes several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
Yes, where your playbook says so. Macros named in the field mapping can be applied to matching tickets, so replies match what your human agents already send. Macros outside the mapping are left alone, and your team can keep editing macros in Zendesk as normal.
A Zendesk API token with an agent or admin role, plus an admin available for a 30-minute call to agree the field mapping. The token is used only for tickets, users, macros and help center articles in that mapping, and it is never sent by email.
Yes. Your escalation rules decide which group gets which kind of ticket, and anything the agent cannot resolve is assigned there with an internal note summarizing the issue and what was already tried. Outside your support hours, the requester can be told when to expect a person.
Only within your approval rules. When a question is answered from your approved knowledge and the ticket meets your criteria, it can set the status to solved and add the outcome tag. Anything uncertain stays open and goes to a person.
The build price, with the express and rush options, is shown in the price and delivery panels on this page, so you see the full figure before you buy. Running costs of roughly $50 to $250 a month are billed separately in your own accounts, on top of your Zendesk plan. Nothing runs through us.
One channel is included, chosen at intake, such as email tickets or your Zendesk web widget. Adding a second channel later, for example WhatsApp is available as a channel add-on bought with the build or quoted through a Change Quote.
Fifty documented scenarios built from your own past tickets are run against sandbox or test records, and you get a test report. You then use two rounds of changes to adjust replies, macros or escalation rules before the agent touches a live ticket.
