Knowledge Assistants

AI Company Knowledge Hub for Financial Services

Client service staff answer onboarding, paperwork and service-request questions from your own procedures, each answer cited, none of it advice.

In financial services, a wrong answer on paperwork costs more than a slow one. This hub gives client service staff cited answers on onboarding forms, service requests and document collection, drawn only from your approved procedures, CRM and document files. It never gives regulated financial advice, and permission groups keep compliance and adviser material with the right teams. Your data stays in your own accounts.

  • Onboarding checklists answered from your approved procedures
  • Service requests handled the same way by every staff member
  • Compliance and adviser files stay with their own teams

What it is

AI Company Knowledge Hub for Financial Services is a cited Q&A assistant over your procedures, CRM records, document management files and client portal guidance, built for onboarding paperwork, service requests, appointment booking and document collection questions. It answers from approved sources only and gives no regulated financial advice. Every answer links to its source.

Why businesses buy it

Every onboarding that stalls for a missing form, and every service request done slightly differently, costs client trust and creates rework for compliance. Today staff check a long manual or ask a colleague, and accuracy depends on who answers. This hub returns the procedure itself, cited, so the same request gets the same handling every time and compliance spends less time correcting mistakes. The Scope Card sets the sources, permission groups and benchmark tests before you order, so your risk and IT teams can review exactly what is being built.

Problems this solves

Staff check thick procedure manuals for every onboarding step

The hub answers questions on onboarding paperwork, service requests and document collection from your approved procedures. Each answer links to its source document, so staff can open the full procedure when needed.

Answers on rule-bound processes vary from person to person

Answers come from approved sources only, so everyone works from the same procedure. Every answer cites its source, which helps reviewers see what was relied on.

Firms fear an assistant might stray into regulated advice

The hub gives no regulated financial advice. The Financial Services test question set checks this boundary, and results appear in the accuracy report before launch.

A good fit if

Onboarding a client means a checklist of forms and supporting documents, and staff check the procedure manual or ask compliance every time.
Service requests, such as address changes or account transfers, each follow a written procedure that few people remember in full.
Your CRM, document management system and client portal guidance each hold part of the answer, and accuracy matters more than speed.
Some procedures and client files must stay with specific teams, such as compliance or advisers, while general service guidance is shared.

Not the right fit if

You need data extracted and classified from statements, forms or other financial documents. See AI Financial Document Agent.
You want documents received from email and uploads filed in the right place. See AI Document Intake.
You want client meetings booked, not just booking rules answered. See AI Appointment Setter for Financial Services.
You want regulations and internal controls organized into their own searchable base. See AI Compliance Knowledge System.

How it works

  1. Up to 3 sources connect, such as your CRM, document management system and the folder or portal area holding client guidance, totalling up to 2,000 documents.
  2. The Financial Services intent library recognizes onboarding paperwork, service request, appointment booking and document collection questions in the terms clients and staff use.
  3. Ask which documents a new joint account needs and the hub returns the checklist from your procedure, with its citation, instead of a paraphrase from memory.
  4. Service request questions return the documented steps and the forms involved; anything your procedures do not cover comes back as not found.
  5. Questions seeking a recommendation on products or investments are declined, because regulated financial advice is excluded from this build.
  6. Up to 3 permission groups separate teams such as service, advisers and compliance, and 60 benchmark questions from financial services scenarios run before launch.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to up to three sources, such as your CRM, document management system and the client portal guidance or shared drive.
  • Your user list by team, for example client service, advisers and compliance, with what each group may see.
  • 30 sample questions with the answers you expect, covering onboarding paperwork, service requests, appointments and document collection.
  • Your financial services procedures and service information: onboarding checklists, request forms and the rules attached to each.
  • Admin access for each source and a workspace admin for sign-in setup.
  • One decision-maker, often in operations or compliance, to approve the groups and the benchmark answers.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can make procedures quicker to follow correctly
  • Helps operations give consistent answers on service requests
  • Gives compliance a clear source behind every answer
Procedure lookup time
Time a set of real procedure questions before launch and repeat with the hub.
Onboarding files returned for missing items
Count files sent back for corrections each month, before and after launch.
Questions to compliance
Ask compliance to tally routine procedure questions for two weeks before and after launch.

Before you start: Record how many onboarding files need correcting each month. Tally routine procedure questions reaching compliance for two weeks.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running it costs roughly $50 to $300 a month in your own accounts for AI model usage, the vector database and hosting, moving with document volume and question volume. Your CRM, document management and client portal subscriptions continue unchanged.

Build-time and test-time AI usage is billed to your own accounts too.

Custom requirements

More than 3 sources, more than 2,000 documents, or extra permission groups for separate business lines are handled through a note at checkout and a written Change Quote. Accepted quotes start work; the rest of the order keeps its date. Larger or bespoke projects go through the Custom AI request form.

Questions about this product

Does the Financial Services hub give financial advice?

No. Regulated financial advice is excluded from this build. The hub answers procedural questions, such as which forms a request needs or what a client must provide at onboarding, from your approved documents with a citation. A question asking which product or investment suits a client is declined and left to a qualified adviser.

Can the Financial Services hub answer from our client portal content?

Yes, if the portal's guidance pages or document area are one of your 3 content sources. That material is indexed with a permission group like any other source, so answers cite the exact page or file. The hub reads it to answer staff questions; it does not post to the portal or message clients.

How does the document collection workflow work in practice?

It answers what to collect. For a given onboarding or service request it returns the list of required documents from your procedures, cited to the source, so staff ask clients for the right items the first time. It does not chase clients for missing documents. For receiving and filing incoming documents, see AI Document Intake.

Can adviser notes be kept away from general service staff?

Yes. Up to 3 permission groups are agreed at intake, for example client service, advisers and compliance. Every answer is filtered by the asker's group, so a service team member never gets a passage drawn from a restricted adviser or compliance file, even when the question matches it closely.

What is the monthly running cost for a financial services team?

Roughly $50 to $300 a month in your own accounts for AI model usage, the vector database and hosting. The build itself is a one-time price. CRM, document management and portal subscriptions stay on your existing plans, and optional monthly maintenance is there if you want changes handled for you.

When can client service staff start using the Financial Services hub?

Once your intake is verified, delivery follows a fixed schedule, and the delivery panel shows that date plus express and rush options before you order. Intake is due within 72 hours of ordering, and each day it runs late moves delivery by 3 working days, so having procedures and source access ready keeps the date.

How is accuracy checked before staff rely on the hub?

With 60 benchmark questions drawn from your 30 samples and financial services scenarios, each scored against the answer you expect. The accuracy report shows every answer and the document it cited. You then get two rounds of changes, and after delivery five working days to report anything that falls short of the Scope Card.
