AI Churn Prevention for Financial Services

Clients showing signs of leaving, such as overdue reviews or stalled paperwork, are flagged to their adviser before they move elsewhere.

Clients who move their money elsewhere rarely say so first. The signs show up as overdue reviews, stalled paperwork and quieter portal activity. This edition combines CRM records, portal activity, outstanding documents and service history to flag clients at risk of leaving. The relationship owner gets an alert with the play from your playbook, and an adviser reviews any outreach.

  • Clients at risk of leaving flagged to their adviser early
  • CRM, portal, document and service signals combined
  • No automated advice, and advisers review all outreach

What it is

AI Churn Prevention for Financial Services predicts which clients are at risk of leaving by combining CRM records, client portal activity, outstanding document requests and service history, then alerts the relationship owner with the play from your playbook. It never gives financial advice, and an adviser reviews any outreach. It reads up to three sources. Advisers stay in control.

Why businesses buy it

Losing a long-standing client takes years of revenue with them, and the reasons are often small things left unattended. Advisers are busy, and no one sees every overdue review or stalled form across the whole book. This edition gives relationship owners an early, explained list of clients to call. The written scope sets out read-only sources, the signals used and the adviser review step before you order, so compliance teams know exactly what it does.

Problems this solves

Clients move their accounts without warning to the adviser

CRM records, client portal activity and service history are combined to predict who may leave. The relationship owner is alerted with the play from your playbook.

Outstanding document requests hint at a cooling relationship

Unanswered document requests are read as a risk signal. A client who has stopped responding can be flagged to the relationship owner before the relationship goes cold.

Compliance teams worry about automated client messages

The product never gives financial advice, and an adviser reviews any outreach. It reads up to three sources, and advisers stay in control of every client conversation.

A good fit if

Clients sometimes transfer away without warning, and looking back the signs were there: missed reviews, unanswered document requests, open service issues.
Client data sits in a CRM, a secure client portal and a document management system that nobody checks together.
Advisers or relationship managers have retention plays, such as an early review meeting, but no list of who needs one this week.
Every client-facing step must go through a qualified person, with the system preparing the case rather than contacting clients.

Not the right fit if

You want one health score per client relationship for management reporting. See AI Customer Health Score for Financial Services.
New client onboarding paperwork is where clients drop away. See AI Customer Onboarding Agent for Financial Services.
Complaints need acknowledging, categorizing and routing with urgency. See AI Customer Complaint Agent for Financial Services.
You need investment, product or suitability recommendations. Regulated financial advice is excluded from this build.

How it works

  1. Client sources are read without changes. Usually your CRM such as HubSpot, your secure client portal and your document management system, up to three, read-only.
  2. Relationship metrics are agreed. Up to 25, such as months since last review meeting, portal logins, outstanding document requests, open service requests and renewal or contract dates.
  3. Clients are placed in states. The Financial Services template separates onboarding, active, review overdue, renewal due and service issue open.
  4. The model is checked against past clients. Three months of history show which departed clients would have been flagged, and how early.
  5. Relationship owners are alerted. Up to five alerts, for example a review overdue with documents outstanding, go to email, Slack or a dashboard with the suggested play.
  6. A qualified person handles the client. Plays are internal suggestions from your playbook; nothing reaches a client without review, and no advice is generated.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Read-only access to your CRM, secure client portal and document management system, or the three sources you choose.
  • Your client list with relationship owner, service level and review or renewal dates.
  • Definitions of the metrics that matter, such as when a review counts as overdue.
  • At least three months of history, including clients who left.
  • Your retention playbook and who may act on each play.
  • Alert recipients and channel, plus admin access and API keys for each source, never sent by email.
  • One decision-maker, often the head of client services or a managing partner.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Gives advisers an earlier chance to reconnect with a client at risk.
  • Helps the firm protect relationships while keeping advice in human hands.
Client retention rate
Compare clients retained in the two quarters after launch with the same quarters last year, from your CRM.
Alerted clients retained
Track how many flagged clients remain after adviser outreach, over the following two quarters.
Open document requests older than your target
Count them in your portal at each month end, before and after launch.

Before you start: Record client losses over the past year and any warning signs seen. Note how many document requests are overdue today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is paid once. Running costs of roughly $20 to $150 a month for AI model usage and hosting or scheduling are billed in your own accounts, separate from your CRM, portal and document system fees.

Usage during build and testing is billed to you too, so client data and provider accounts stay under your firm's control. The build supports client operations and is not regulated financial advice.

Custom requirements

A fourth source such as a platform holding account values, writing flags into your CRM, or more than five alerts is outside the Scope Card. Add a note at checkout and a written Change Quote follows. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes, such as new service levels, a changed review cycle or a new play. Your change hours scale with the build. It starts after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does AI Churn Prevention for Financial Services give clients financial advice?

No. Regulated financial advice is excluded. It produces internal alerts and suggested plays, such as bringing a review meeting forward. A qualified person decides whether and how to contact the client, and nothing is sent to a client by the system.

Which signals usually predict a client leaving?

That depends on your firm, which is why you define up to 25 metrics. Common ones are an overdue review meeting, falling portal logins, document requests left unanswered, open service requests and an approaching renewal date. The three-month history check shows which ones really mattered for you.

Is our client data kept secure?

Sources are connected read-only, results go only to the channel you choose, and everything runs in your own accounts. Credentials are never sent by email. For extra controls, the Audit Logging Add-on records access, and the PII Redaction Layer masks personal details.

Can it read account values or investment data?

Only if that data comes from one of the three sources and you define it as a metric. Many firms start with CRM, portal and document signals. Adding a separate platform that holds account values would be a fourth source and needs a Change Quote.

What does the financial services edition cost?

Each delivery speed has one fixed price. The price panel shows standard, express and rush side by side before you pay, and the cart confirms your delivery date. Running costs of roughly $20 to $150 a month are separate and paid to your own providers.

Who receives the alerts?

The relationship owners or team you name, through one delivery channel: email, Slack or a web dashboard. Each alert names the client, the signals behind it and the suggested play. Senior staff can also receive a recurring summary report instead of individual alerts.

Know which clients need a call before they transfer.
