Payables & Receivables

AI Collections Agent

Overdue accounts get a steady, polite reminder cadence based on how late they are, with every promise to pay logged.

Chasing overdue invoices is awkward, so it often gets done unevenly: a firm call to one customer, silence for another until the balance is months old. This agent follows your written collections policy every time. It sends polite reminders that step up through your aging buckets, logs every promise to pay, and hands an account to a person once it passes your threshold.

  • Every overdue account chased on the same polite schedule
  • Promises to pay logged so follow-ups start from facts
  • Older or larger balances handed to a person automatically

What it is

AI Collections Agent is an agent that runs a structured outreach cadence for accounts that are already overdue, sending polite, policy-based reminders that escalate through your 30-day, 60-day and 90-day aging buckets. It logs every promise to pay and hands a case to a person past your threshold.

Why businesses buy it

Every week an invoice stays unpaid, it becomes harder to collect and your cash gets tighter. Yet chasing customers is uncomfortable, so it slips behind more urgent work. After this build, every overdue account gets the right message at the right time, in your tone, and nothing is forgotten. Your team steps in only when a person is really needed, with the full history in front of them. The Scope Card sets out the cadence, workflows and escalation rules in writing before you buy.

Problems this solves

Overdue accounts get chased only when someone remembers

The agent runs a structured outreach cadence for accounts already overdue. Polite, policy-based reminders go out on schedule, escalating through your 30-day, 60-day and 90-day aging buckets.

Promises to pay are made on calls and then forgotten

Every promise to pay is logged against the account. If the payment does not arrive, the next step in the cadence follows from that record.

Difficult accounts need a person, not another automated email

Past your threshold, the agent hands the case to a person on your team. Sensitive conversations stay human, while routine reminders keep running in the background.

A good fit if

Overdue accounts get chased inconsistently, some with a firm call, others forgotten until someone notices the balance months later.
You want a written policy, such as reminders at your 30-day, 60-day and 90-day aging marks, actually followed the same way every time.
You want every promise to pay logged against the account, so a follow-up call starts from what was actually said last time.
You want accounts past a certain age or amount handed to a person automatically, instead of staying in an automated queue indefinitely.

Not the right fit if

You need reminders for invoices that are not yet overdue, plus payments reconciled. See AI Accounts Receivable Agent, which covers the whole receivables cycle.
You only need invoices extracted and coded, not collections outreach. See AI Invoice Intelligence, which is built for the extraction step alone.
You need more than six workflows or more than two connected systems with write access. Add a note at checkout for a quote, or use our Custom AI enquiry form.
You need this run across more than one channel, for example separate collections processes per region. This build covers one channel; a second is priced separately.
You want overdue reminders made as courteous phone calls, not written messages. See AI Voice Collections Assistant.

How it works

  1. An account crosses into overdue status. Once an invoice passes its due date, it enters the collections cadence you defined during setup.
  2. A reminder goes out on schedule. The tone and wording follow your policy, and step up as the account moves through the 30-day, 60-day and 90-day buckets.
  3. Promises to pay are logged. If a customer replies with a payment date, it is recorded against the account for whoever follows up next.
  4. Disputes are routed to a person. A customer disputing the amount or the invoice itself stops the automated cadence and flags it for finance review.
  5. Accounts past your threshold escalate. Once an account passes the age or amount you set, it is handed to a person instead of staying in the queue.
  6. Nothing threatens legal action or reports to a credit bureau on its own. It reminds and logs; any harder step is a person's decision.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Your business information (company basics, hours and brand voice), shared during intake, or confirmation we can reuse what you gave us on an earlier order.
  • Admin or API access to your accounting system, with sandbox or test records if you have them.
  • Your collections policy and escalation thresholds, written out as your rules and playbook.
  • 10 real sample collections emails or calls, so the tone and cadence match how your team actually collects.
  • The name of the approver for any account that escalates past your threshold.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One person on your side who can approve decisions during setup and sign off at launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can help overdue invoices get paid sooner.
  • Makes collections more consistent without sounding harsh.
  • Helps your team focus on the accounts that need a conversation.
Overdue balance by aging bucket
Compare your aged receivables report at each month-end with the month before launch.
Promises to pay kept
From the promise log, count promises that were paid on the agreed date each month.
Accounts handed to a person
Track how many cases pass your threshold each month and how they were resolved.

Before you start: Save your aged receivables report before launch. Note how overdue accounts are chased today and how promises to pay are recorded.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $50 to $250 a month, covering AI model usage and hosting in your own accounts, on top of your existing accounting or ERP plan.

AI usage while we build and test also lands on your accounts, so every provider relationship stays in your name, not ours. This is operational workflow support, not regulated financial, tax or investment advice.

Custom requirements

If you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form.

Keep it running

Monthly maintenance covers monitoring, fixes, model and platform updates, a monthly health report and monthly hours for changes, enough to adjust escalation thresholds or update reminder wording. It begins after the 30 days of support, bills monthly, and can be cancelled whenever you like.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Will AI Collections Agent damage our customer relationships?

It is designed not to. Every message follows the tone and wording you approve, starting friendly and stepping up only as an account ages. Customers can reply with a promise to pay, which is logged and respected. Anything sensitive, such as a dispute or hardship, is handed to a person instead of chased automatically.

How much does it cost to run AI Collections Agent each month?

Roughly $50 to $250 a month, covering AI model usage and hosting in your own accounts, plus whatever you already pay for your accounting or ERP system. Monthly maintenance is separate and optional, for ongoing changes. It covers monitoring, fixes and change hours to adjust escalation thresholds or update reminder wording, and you can cancel whenever you like.

Will AI Collections Agent ever threaten legal action on its own?

No. It sends reminders that follow your written policy and logs promises to pay, but it never threatens legal action, reports to a credit bureau, or takes any step beyond a reminder on its own. Anything harder than a reminder is a decision a person makes.

Is customer payment data secure with AI Collections Agent?

Yes. Admin and API access are shared by adding our team as a user or creating a key you control during intake, never by email, and the build works only inside the accounting system you connected. This is operational workflow support, not regulated financial or debt-collection advice, and disputes always route to a person.

What do we need ready for AI Collections Agent?

Access to your accounting system, your written collections policy or the rules you follow today, the reminder wording you are happy with, and the threshold for handing an account to a person. These are due within 72 hours of ordering. The delivery clock starts once intake is complete, not on the day you order.

Can I change the escalation thresholds after AI Collections Agent launches?

Yes. Adjusting when an account escalates to a person, or updating reminder wording, fits inside the monthly change hours that come with maintenance. Adding a seventh workflow is a bigger change, so it gets a written Change Quote first and only starts once you accept it. Your current cadence keeps running meanwhile.

How is AI Collections Agent different from AI Accounts Receivable Agent?

This agent works only on accounts that are already overdue. It runs the reminder cadence through your aging buckets and logs every promise to pay. AI Accounts Receivable Agent covers the whole receivables cycle, including reminders before the due date and matching payments to invoices. For reminder calls by phone, see AI Voice Collections Assistant.

Who owns the AI Collections Agent policy and logs once it is built?

You do. The cadence, escalation rules and every logged promise to pay belong to your business, stored inside your own connected accounting system. If maintenance lapses, the cadence keeps running; you just lose the included monthly changes and support. While active, maintenance covers monitoring, fixes and change hours for things like adjusting escalation thresholds or reminder wording.

Chase overdue accounts the same way, every time.

Order AI Collections Agent and it runs your reminder cadence and logs promises to pay, on a delivery date fixed and shown before you pay.
