AI Customer Onboarding Agent

New customers guided through setup milestones, with a nudge sent the moment progress stalls.

New customers rarely say they are stuck. They just go quiet, and by the time anyone notices, the account is at risk. This agent guides each new customer through the setup milestones that matter, tracks progress from your product data, and sends a nudge, in-app message or CSM task the moment progress stalls. It follows your own onboarding playbook, not a generic checklist.

What it is

AI Customer Onboarding Agent walks a new customer through the setup milestones that matter, tracks how far each one has gotten in your product, and sends a nudge, in-app message or CSM task the moment progress stalls. It works from your own onboarding playbook, not a generic checklist.

Why businesses buy it

The first weeks decide whether a customer sticks. Customers who never finish setup rarely renew, yet onboarding teams cannot watch every new account every day. After launch, each new customer is followed through your milestones, and stalls are caught while they are still easy to fix. Your CSMs review anything customer-facing before it goes out. The Scope Card sets the milestones, systems and workflows before you order, so you know exactly how each new account will be guided.

Problems this solves

New customers stall on setup and nobody notices in time

The agent tracks each customer's progress through your setup milestones inside your product. When progress stalls, it sends a nudge, an in-app message or a CSM task straight away.

CSMs send the same onboarding reminders to every account by hand

Routine nudges follow your onboarding playbook across up to six workflows with your approval rules. CSMs step in when a task is raised, instead of sending every reminder themselves.

A generic checklist does not match how your product works

The agent works from your own onboarding playbook and up to 100 of your documents. Milestones and messages follow how your product is actually set up and used.

A good fit if

You have defined onboarding milestones, such as account setup, first integration or first successful use, but tracking who has stalled depends on a CSM checking manually.
New customers drop off in the first weeks and you suspect it is because nobody noticed they were stuck, not because the product itself is wrong for them.
You want nudges sent automatically for common stalls, with a CSM task raised only when a customer needs a person rather than a reminder.
You can provide admin or sandbox access to your CRM and product usage tool, your onboarding playbook, and ten real onboarding conversations to test the agent's tone against.

Not the right fit if

You want the in-product onboarding content itself adapted to each user's role, not setup milestones chased. See AI Personalized Onboarding.
Your customers are already onboarded and you need ongoing account monitoring, not a first-90-days push. See AI Customer Success Agent, which monitors accounts and runs success playbooks.
You want to track feature adoption across your whole customer base over time, not just new customers finishing setup. See AI Adoption Monitoring, which tracks feature adoption per account.
Your concern is accounts that are already live and showing churn signals, not new accounts getting started. See AI Customer Risk Agent, which flags accounts showing churn signals.
You need more than two systems connected with write access, more than six workflows, or onboarding milestones for more than a hundred documented steps. Add a note at checkout for a Change Quote, or use our Custom AI enquiry form for larger projects.

How it works

  1. We connect your onboarding data. HubSpot, Salesforce, Intercom, Mixpanel or Amplitude, so we can see where each new customer actually is against the milestones you defined.
  2. We load your onboarding playbook. The setup steps that count as progress, the order they usually happen in, and the message or task each stall should trigger, up to six workflows.
  3. The agent tracks every new account against those milestones continuously, comparing real progress to what a healthy onboarding usually looks like at that stage.
  4. It nudges when progress stalls. An in-app message, an email, or a CSM task, matched to your ten sample conversations so the tone sounds like your team, not a bot.
  5. Escalations reach a person when needed. A customer stuck past the point a nudge usually fixes is flagged to the CSM you assign, not left to retry automatically forever.
  6. We test against fifty documented onboarding scenarios before launch, then hand off with two rounds of changes and a recorded sixty-minute session.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to the two connected systems, sandbox or test records if you have them.
  • Your onboarding playbook, including the milestones that count as progress and what should happen at each stall.
  • Ten real onboarding conversations or emails so nudges match how your team actually writes.
  • The name of the approver for escalations that need a person's involvement.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the milestone rules before launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Customer Onboarding Agent configured and deployed in your environment
  • Workflow, prompt and guardrail configuration based on your onboarding playbook
  • Connections to up to two agreed systems with read and write access
  • A test report on 50 documented scenarios
  • An admin guide and a recording of the 60-minute handoff session

Expected benefits and how to measure them

  • New customers can reach first value sooner with timely prompts.
  • Helps CSMs focus their time on accounts that genuinely need a person.
Time to complete onboarding
Compare the average days from signup to final milestone for customers who joined before launch and after.
Accounts finishing every milestone
Use the agent's milestone tracking against your product data for the cohort before launch.
Early cancellations
Compare cancellations in the first quarter of life for cohorts signed before and after launch.

Before you start: Record how long recent customers took to finish onboarding and how many stalled. Note how many reminders CSMs send by hand each week.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running the agent afterwards is paid in your own accounts, and it is mostly AI model usage plus light hosting: roughly $50 to $250 a month, on top of the CRM or product analytics plan you already pay for.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need more connected systems, more onboarding paths, or milestone logic beyond what is listed, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a health report and change hours each month for things such as a new milestone, an updated nudge message or a revised escalation rule. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Customer Onboarding Agent cost?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. The price covers up to six onboarding workflows across two connected systems, fixed and agreed before you buy.

What does AI Customer Onboarding Agent cost to run each month?

Roughly $50 to $250 a month in AI model usage and hosting, on top of whatever you already pay for your CRM or analytics plan. You pay providers directly, in your own accounts. Monthly maintenance is optional if you want us managing changes.

How soon can AI Customer Onboarding Agent start nudging new customers?

The delivery time is fixed and shown on this page before you order, and express or rush delivery can bring the launch forward if you need it sooner. Most of the time goes into mapping your milestones and testing against fifty documented onboarding scenarios.

What access does AI Customer Onboarding Agent need to my product data?

Admin or API access to up to two connected systems, ideally sandbox or test records at first, shared by adding our team as a user or creating a key you control, never by email. It reads usage and account data to judge progress, and writes only the nudges and tasks your rules allow.

Can I change the onboarding milestones after launch?

Yes. Two rounds of changes are included before launch, based on the test scenarios. After that, a new milestone, an updated nudge message or a revised escalation rule fits inside the monthly change hours that come with maintenance. A whole new onboarding path is a separate add-on.

Does AI Customer Onboarding Agent cost anything once the 30 days of support end?

No. The 30 days of post-launch support are included in the build price with nothing extra to pay. After that, monthly maintenance is optional, not required, and you can cancel it in any month if your onboarding flow is stable and needs no further tuning.

Who owns the AI Customer Onboarding Agent setup once it is built?

You do. It runs inside your own CRM, product analytics and AI provider accounts, so nothing is tied to us to keep it working. If you ever move away from Upmark Labs, the milestone logic and every connection stay in your accounts, not ours, exactly as delivered.

Do not let a stalled setup become a lost customer.

Order AI Customer Onboarding Agent and every new customer is guided through setup, with stalls caught early and handed to a CSM when a nudge is not enough.
