AI Customer Success Agent

Every account watched against your playbooks, with the next CSM action drafted and ready for a person to approve.

Customer success playbooks only work when someone remembers to run them for every account. This agent combines product usage, support history and billing signals for each account, matches what it sees against your success playbooks, and prepares the next action for your CSMs. Nothing reaches a customer until a CSM approves it, so your team stays the face of every relationship.

  • Usage, support and billing signals combined per account
  • Your success playbooks applied to every account consistently
  • Next actions prepared for CSM approval before outreach

What it is

AI Customer Success Agent combines product usage, support history and billing signals for each account, matches what it sees against your success playbooks, and prepares the next action for your CSMs to review before anything reaches a customer. It works inside HubSpot, Salesforce or the tools you already run.

Why businesses buy it

Customer success teams usually cover more accounts than they can watch closely, so warning signs and expansion moments slip by unnoticed. Renewals are lost to silence rather than to a single bad event. After launch, every account is checked against your playbooks, and CSMs start each day with prepared actions instead of a hunt through dashboards. The Scope Card fixes the systems, workflows and approval rules before you order, so you know exactly what it prepares and what always waits for a person.

Problems this solves

CSMs piece together usage, support and billing data by hand

The agent combines product usage, support history and billing signals for each account. A CSM sees them side by side with a prepared next action, rather than checking three tools.

Success playbooks exist on paper but are applied unevenly

It matches each account against your success playbooks and drafts the step that fits. Up to six workflows run with your approval rules, so accounts get consistent treatment.

Quiet accounts in a large book get missed

Every account is checked, not only the noisy ones. Suggested actions appear in HubSpot, Salesforce or your existing tools for review, and nothing reaches a customer without approval.

A good fit if

You run a subscription or recurring-revenue business and already have success playbooks, but applying them consistently across every account depends on a CSM remembering to check.
You want account signals from your CRM, product usage tool and billing system combined in one place, instead of a CSM opening three tabs before every call.
You need actions drafted against your rules, such as a check-in email or a renewal task, with a person approving before anything goes to a customer.
You can provide admin or sandbox access to two systems, your playbook rules, and ten real sample conversations to test the agent against before launch.

Not the right fit if

Your need is specifically getting brand-new customers to their first working setup, not managing accounts after that. See AI Customer Onboarding Agent, which guides new customers through setup milestones.
You are mainly looking for expansion or upsell signals rather than general account health. See AI Expansion Agent, which spots expansion signals and prepares expansion conversations.
You want a single health number for a leadership dashboard rather than actions taken on individual accounts. See AI Customer Health Score, which calculates account health from usage, support and billing signals.
You need more than two systems connected with write access, more than six workflows, or more than a hundred knowledge documents. Add a note at checkout for a Change Quote, or use our Custom AI enquiry form for larger projects.

How it works

  1. We connect your account signals. HubSpot, Salesforce, Intercom, Zendesk, Stripe, Mixpanel or Amplitude, so usage, support and billing data sit next to each other for every account.
  2. We load your playbooks. Qualification criteria, approval limits and the specific actions you already run for onboarding, adoption, renewal and risk states, up to six workflows.
  3. The agent checks each account against those rules continuously, not on a fixed schedule, so a stalled account or an upcoming renewal is caught close to when it happens.
  4. It drafts the next action. A check-in email, a task for the CSM, or a note flagging why an account needs attention, built from your ten sample conversations so the tone matches your team.
  5. A CSM reviews before anything reaches a customer. Nothing is sent automatically past the approval limits you set during intake.
  6. We test against fifty documented scenarios before launch, then hand off with two rounds of changes and a recorded sixty-minute session for your success team.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to the two connected systems, sandbox or test records if you have them.
  • Your playbook rules, including qualification criteria, approval limits and how each account state should be handled.
  • Ten real sample conversations or emails so drafted actions match how your team actually writes.
  • The name of the approver who signs off on actions before they reach a customer.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can approve the workflow rules before launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • AI Customer Success Agent configured and deployed in your environment
  • Workflow, prompt and guardrail configuration built around your playbooks
  • Connections to up to two agreed systems with read and write access
  • A test report covering 50 documented scenarios
  • An admin guide and the recorded 60-minute handoff session
  • 30 days of post-launch support

Expected benefits and how to measure them

  • CSMs can spend less time gathering data and more time talking to customers.
  • Helps every account get attention, not only the loudest ones.
Accounts with a meaningful touchpoint each month
Run a CRM activity report for the quarter before launch and the quarter after.
Suggested actions approved
Count how many prepared actions CSMs approve, edit or reject each week in the first two months.
Gross renewal rate
Compare renewals in the two quarters after launch with the same quarters a year earlier.

Before you start: Note how many accounts each CSM touched last quarter and your renewal rate. Ask CSMs how long account prep takes each week.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running the agent afterwards is paid in your own accounts, and it is mostly AI model usage plus light hosting: roughly $50 to $250 a month, on top of the CRM or helpdesk plan you already pay for.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need more connected systems, more workflows, or approval logic beyond what is listed, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a health report and change hours each month for things such as a new playbook rule, an updated approval limit or a revised email draft. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Customer Success Agent cost?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. The price covers up to six workflows connected to two systems, agreed and fixed before you buy, with no per-account pricing to track.

What does AI Customer Success Agent cost to run each month?

Roughly $50 to $250 a month in AI model usage and hosting, on top of whatever you already pay for your CRM or helpdesk plan. You pay providers directly, in your own accounts. Monthly maintenance is optional if you want us managing changes.

How long until AI Customer Success Agent is running?

Delivery runs on a fixed schedule from a verified intake, and the exact date is shown in the delivery panel before you buy, with express and rush options if you need it sooner. Most of the time goes into loading your playbooks and testing against fifty documented scenarios.

What access does AI Customer Success Agent need to my CRM?

Admin or API access to up to two connected systems, ideally sandbox or test records at first, shared by adding our team as a user or creating a key you control, never by email. It reads and writes within the approval rules you set, and a person still approves anything customer-facing before it goes out.

Can I add new playbook rules after launch?

Yes. Two rounds of changes are included before launch, based on the test scenarios. After that, a new rule, an updated approval limit or a revised email draft fits inside the monthly change hours that come with maintenance. A whole new workflow is a separate add-on.

Does AI Customer Success Agent cost anything once the 30 days of support end?

No. The 30 days of post-launch support are included in the build price with nothing extra to pay. After that, monthly maintenance is optional, not required, and you can cancel it in any month if your playbooks are stable and you no longer need frequent changes.

Who owns the AI Customer Success Agent setup once it is built?

You do. It runs inside your own CRM, helpdesk and AI provider accounts, so nothing is tied to us to keep it working. If you ever move away from Upmark Labs, the workflows, playbook logic and every connection stay in your accounts, not ours.

Stop letting playbooks depend on memory.

Order AI Customer Success Agent and every account is checked against your playbooks, with the next action prepared and waiting for CSM approval.
