AI Helpdesk Agent

Routine employee and IT questions answered instantly, with anything trickier routed straight to the right team.

Employees ask the same questions every week: how do I reset my password, how do I get access to this tool, where is the leave policy. This agent answers them instantly from the FAQs and documents you approve, in a website widget, Slack or Microsoft Teams. Anything it cannot answer goes to your helpdesk with the question and context attached, so nobody has to ask twice.

  • Instant answers to routine IT and internal questions
  • Works in your website widget, Slack or Microsoft Teams
  • Unanswered questions handed to your helpdesk with context

What it is

AI Helpdesk Agent answers employees' common IT and internal-service questions from your approved FAQs and documents, in a website widget, Slack or Microsoft Teams, and routes anything it cannot answer to your helpdesk. It is a knowledge assistant, not an action-taking agent.

Why businesses buy it

Internal service teams lose hours to questions that already have written answers, and employees lose time waiting in a ticket queue for a link to a policy. That friction adds up across the whole company. After launch, staff get a correct first answer in seconds, and your IT and operations people spend their time on requests that need them. The Scope Card lists the channel, the handoff route and the topics it covers in writing before you order, so everyone knows what it answers and what it passes on.

Problems this solves

IT staff answer the same password and VPN questions daily

The agent answers common IT and internal-service questions from your approved FAQs and documents. Employees get an instant answer at their desk, and IT handles fewer of the same repeat requests.

Employees cannot find the right policy or how-to document

It searches up to 100 documents or 200 web pages you approve and answers in a website widget, Slack or Microsoft Teams. People ask in plain words where they already work.

You want help for staff without giving a bot system access

This is a knowledge assistant, not an action-taking agent. It only answers questions and never changes accounts or settings. Anything it cannot answer is routed to your helpdesk.

A good fit if

Your IT or operations team fields the same handful of questions repeatedly, such as password resets, software access or where to find a policy.
You already have FAQs, documents or web pages that answer most of these questions, they just are not easy for people to find.
You want a self-serve first step before a ticket is opened, not a replacement for your helpdesk.
You are comfortable with a chatbot that answers and hands off, rather than one that takes actions like resetting a password itself.

Not the right fit if

Your questions come from customers rather than employees. See AI FAQ Agent or AI Customer Support Agent, built for customer-facing support.
Your questions are about HR policy, leave or benefits rather than IT and internal services. See AI Employee FAQ, the HR-focused build.
Your questions need to be answered in more than one language. See AI Multilingual Support, which covers several languages from one knowledge base.
Your real bottleneck is sorting tickets that already exist, not answering new questions. See AI Ticket Classification, or AI Ticket Routing.
You need more than five intents or a deeper action layer behind the chat. Add a note at checkout for a Change Quote, or use our Custom AI enquiry form.

How it works

  1. An employee asks a question in the website widget, Slack or Microsoft Teams, whichever channel you install it in.
  2. The agent matches the question to your top intents, such as password resets, benefits, or where to find a specific policy document.
  3. It answers only from the documents and FAQs you approved, up to 100 documents or 200 web pages, never improvising outside them.
  4. If the question falls outside its five defined intents, or confidence is low, it says so rather than guessing an answer.
  5. Anything it cannot resolve is handed off by email or into your helpdesk, with the question and what was already tried attached.
  6. Every exchange is logged with a pass or fail outcome, so gaps in your FAQs become visible over time.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The documents or website pages the agent should learn from, up to the limits on the Scope Card.
  • Your top twenty frequently asked questions, with the answers you want given.
  • An escalation email address or helpdesk access for anything the agent cannot resolve.
  • Access to your website, Slack or Microsoft Teams, or a developer who can install the widget for you.
  • Your logo and brand colors if the agent should carry your look.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can confirm scope questions during the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The helpdesk agent deployed on one channel: website widget, Slack or Microsoft Teams
  • Prompt and guardrail configuration for up to five intents plus human handoff
  • Handoff connection to one system, such as your helpdesk or an email address
  • Test report on 40 documented questions with pass or fail results

Expected benefits and how to measure them

  • Employees can get answers to common questions straight away.
  • IT staff can spend more time on real incidents.
  • Helps show which internal documents are missing or unclear.
Repeat requests to IT
Count tickets on your top five common topics in your helpdesk. Compare four weeks before and after launch.
Questions answered without handoff
Use the agent's log to count conversations that ended without routing to the helpdesk each week.
Unanswered topics
Review handoffs weekly to list topics with no approved document, and track them as you add content.

Before you start: Pull a month of internal tickets and tally the five most common question types and how long each takes.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running AI Helpdesk Agent costs roughly $30 to $150 a month in AI model usage and hosting, with no extra platform fee since it runs in the channel you already use. Higher question volume sits toward the top of that range.

AI usage during the build and afterwards runs through your own accounts, so you see and control the actual spend.

Questions about this product

Where can employees reach AI Helpdesk Agent?

In whichever single channel you choose during intake: your website widget, Slack, or Microsoft Teams. Most internal deployments pick Slack or Teams since that is where employees already ask IT questions. The channel is fixed for this build, and adding a second one is a separate add-on.

What does AI Helpdesk Agent cost to run each month?

Roughly $30 to $150 a month, covering AI model usage and hosting. Since it runs inside a channel you already use, such as Slack, there is no extra platform fee on top. Higher question volume across your organization sits toward the top of that range.

How long does AI Helpdesk Agent take to launch?

The delivery time is fixed and shown on this page before you order, and express or rush delivery can bring the launch forward if you need it sooner. Every option includes the same forty test questions with pass or fail results before it starts answering employees live in your channel.

What does AI Helpdesk Agent need access to?

The documents or web pages you want it to learn from, and admin access to install the widget or connect the bot to Slack or Teams. If you want handoffs into a helpdesk, that system's access is the one connected system this build includes.

Does AI Helpdesk Agent take actions, like resetting a password?

No. It answers questions from approved documents and hands off anything it cannot resolve, such as a password reset or an access request. Taking actions inside your IT systems is a different kind of build. Add a note at checkout for a Change Quote, or use our Custom AI enquiry form for a larger project.

Can I add more FAQs to AI Helpdesk Agent after launch?

Yes, through monthly maintenance. Its change hours cover new FAQs, updated policies, or refined intents, and the allowance scales with the build. Bigger changes go through a Change Quote. Maintenance also covers monitoring and fixes. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.

What happens when AI Helpdesk Agent does not know the answer?

It says so plainly rather than guessing, and hands the question to the email address or helpdesk you named during intake. The employee is told what happens next. Every one of these handoffs is logged, which is how you find real gaps in your FAQs.

Give employees a faster first answer than a ticket queue.

Order AI Helpdesk Agent and employees get a correct first answer in seconds, while your helpdesk keeps the requests that really need a person.
