AI Warranty Support

Every warranty question answered on the spot, every claim checked against your policy and logged.

Warranty questions sound simple until someone has to check the purchase date, the product, the coverage terms and the claim history. This agent does that checking for every customer, explains what is covered in plain language, and guides the claim toward repair, replacement or refund under your policy. Unclear cases go to your team with the evidence collected, so the final decision stays yours.

  • Coverage checked against purchase date and your warranty terms
  • Claims guided to repair, replacement or refund
  • Every claim logged with the evidence your team needs

What it is

AI Warranty Support checks whether a product is still covered, walks the customer through the claim, and prepares the right outcome under your own rules: repair, replacement or refund. It runs inside your helpdesk, logs every claim, and hands off anything it cannot resolve on its own. Customers get a clear answer instead of a wait.

Why businesses buy it

Warranty handling is slow because it has to be careful: an agent finds the order, reads the terms and asks for photos or serial numbers before anyone can decide. Customers wait, and inconsistent answers turn a fair claim into a complaint. After launch, eligibility is checked the same way every time, claims arrive complete, and your team only steps in where judgment is needed. The Scope Card writes down the channel, connected systems and claim workflows before you order, so the policy it applies is exactly the one you approved.

Problems this solves

Customers wait days just to learn if a product is covered

The agent checks warranty coverage against your connected systems and gives a clear answer on your agreed channel. Customers know where they stand without waiting in the queue.

Claims arrive half-complete and stall while staff chase details

The agent walks each customer through the claim step by step. It then prepares the outcome your rules allow, whether repair, replacement or refund, with the details already collected.

Warranty decisions vary depending on who handles the claim

Every claim follows the same warranty rules you approve, set as up to six workflows. Each claim is logged, and anything it cannot resolve is handed to your team.

A good fit if

Customers regularly ask whether a product is still under warranty before they will book a repair or accept a replacement.
Coverage depends on purchase date, product type or registration, and checking it by hand eats up agent time every week.
You already have a written warranty policy and a repair, replace or refund process you want followed exactly, not improvised.
You want every claim, its evidence and its outcome logged in your helpdesk instead of scattered across email threads.

Not the right fit if

Most of what reaches your team is refund requests unrelated to a warranty, such as wrong item or change of mind. See AI Refund Workflow, built around your refund policy instead of coverage dates.
You are losing more customers to cancellations than to warranty disputes. See AI Cancellation Workflow, which handles retention offers and a clean offboarding process.
You need warranty answers in more than one language on the same line. See AI Multilingual Support, which covers several languages from one knowledge base.
You only need a general FAQ bot that answers questions without checking eligibility or logging a claim. See AI Helpdesk Agent, or our Custom AI enquiry form for a fuller build.

How it works

  1. The customer describes the problem, and where a records system is connected, the agent looks up the purchase date, serial number or registration on file.
  2. It checks that information against your warranty policy, including coverage length and what voids a claim, and tells the customer plainly whether it qualifies.
  3. For a qualifying claim, it asks for the proof you require, such as photos or a fault description, and explains whether the outcome is repair, replacement or refund under your rules.
  4. The claim is logged in your helpdesk, for example Zendesk or Freshdesk, tagged so your team can track it from open to closed.
  5. Anything disputed, borderline or outside the warranty window is handed to a person, with the customer's history and the reason for the handoff attached.
  6. Every conversation is kept as a transcript, a short summary and an outcome tag, so nothing about a claim is lost between shifts.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin or API access to the helpdesk and order or registration system you want connected, sandbox or test records if you have them.
  • Your warranty policy in writing, including coverage windows, what voids a claim, and your repair, replace or refund rules.
  • Ten real warranty conversations or emails so we can see how customers actually ask.
  • The name of the person who approves claims that fall outside a clear yes or no.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker who can sign off scope questions during the build.
  • A rough count of your current help articles, FAQs and saved replies, so we can check there is enough source content to answer from.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Customers can get a coverage answer quickly instead of waiting.
  • Helps apply the same warranty rules to every claim.
  • Staff can handle fewer incomplete claims.
Time from claim to decision
Measure time between claim opened and outcome prepared in your helpdesk. Compare four weeks before launch with four weeks after.
Claims needing follow-up for missing details
Count claims where staff had to ask for more information. Compare the month before and after launch.
Claims handed to staff
Use the claim log to see how many claims reached a person each week, and why.

Before you start: Record a month of warranty claims, time to decision and how many needed extra information requests.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running AI Warranty Support day to day costs roughly $50 to $250 a month, covering AI model usage and hosting, on top of whatever you already pay for your helpdesk or CRM plan. Heavier claim volume sits toward the top of that range.

AI usage during the build and every month after runs through your own accounts, so you keep the provider relationship and the bill stays visible.

Custom requirements

Need something the Scope Card does not cover, such as a seventh workflow or a third connected system? Add a note at checkout and you get a written Change Quote, and it only starts once you accept it. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a monthly health report and change hours for work such as updated coverage terms or a new claim type. It starts after the post-launch support period, bills monthly and can be cancelled any month.

Questions about this product

Can AI Warranty Support tell whether a specific product is still covered?

Yes. When it is connected to your order or registration system, it checks the purchase date or serial number against your warranty policy and gives the customer a clear answer. Where records are not connected, it works from the dates and details the customer provides. Borderline cases go to a person rather than being guessed.

What does AI Warranty Support cost to run each month?

Roughly $50 to $250 a month, covering the AI model usage and hosting behind the build. That sits on top of whatever you already pay for your helpdesk or CRM plan. You pay these providers directly in your own accounts, and we charge nothing extra for usage or per claim handled.

How long does AI Warranty Support take to go live?

You see the fixed delivery time before you buy, counted from a verified intake, and you can choose express or rush delivery if your launch date is close. All three timelines include the same fifty test scenarios and the same recorded handoff session before you launch, so faster delivery never means skipping testing.

What access does AI Warranty Support need to my systems?

Admin or API access to your helpdesk and, if you want automatic eligibility checks, your order or registration system. Sandbox or test records work for the build if you have them. Every credential is shared by adding our team as a user or creating a key you control, never by email, and access can be revoked at any time.

Will customers know they are talking to AI about their warranty claim?

Yes. The agent identifies itself at the start of the conversation, in wording you approve during intake. If a customer asks for a person, or the claim needs judgment your rules do not cover, it hands off immediately with the conversation history attached for context.

Can I update the warranty rules after AI Warranty Support launches?

Yes, through monthly maintenance. Updated coverage windows, new product lines and seasonal policy changes all fit inside its monthly change hours without a separate quote. Send the updated warranty policy in writing, including what voids a claim. Maintenance also covers monitoring, fixes and a monthly health report, starts after post-launch support, and can be cancelled any month.

What happens to a warranty claim AI Warranty Support cannot resolve?

It is handed to a person on your team, along with the customer's history, the reason for the handoff and any evidence already collected. Nothing is approved or guessed outside the rules you set. You keep full control of edge cases and any disputed claim.

Stop guessing at warranty coverage.

Order AI Warranty Support and every claim gets the same careful eligibility check, a clear answer for the customer and a complete record for your team.
