New hires find their Drive folder, first-week Calendar and welcome email ready on day one, prepared inside Google Workspace.
In a Google Workspace company, onboarding means copying the same Docs, sharing the same folders and sending the same invites for every new hire. This workflow does it for you. It builds a personal Drive folder from your templates, books first-week meetings in Calendar and drafts a welcome email in Gmail for the manager to send. It works only within the scopes your admin approves.

AI Employee Onboarding for Google Workspace prepares a new hire's first week inside Google Workspace: copying your onboarding Docs into a personal Drive folder, booking first-week meetings in Calendar and drafting a welcome email in Gmail. It runs in the background within the scopes your admin approves, and your admin can revoke access at any time.
Small gaps in onboarding add up. A missing folder share, a forgotten intro meeting or a generic welcome tells a new hire that nobody planned for them. In Google Workspace these tasks are easy but endless, and they fall to whoever has a spare hour. This edition does them the same careful way every time, inside the tools your team already lives in, and only within the access your admin grants. The Scope Card lists the templates, the Calendar rules and the approved scopes before you order, so your IT team can sign off with confidence.
The workflow copies your onboarding Docs into a personal Drive folder for each new hire. Everyone starts with the right documents in the same place.
First-week meetings are booked in Google Calendar as part of the workflow. The new hire's first week is laid out in one calendar before they even arrive.
The workflow runs only within the scopes your admin approves. Your admin can revoke access at any time, and the field mapping is documented in the handover.
A welcome email is drafted in Gmail for each new hire by the AI step. Someone reviews and sends it, so the welcome goes out on time.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $4,400 |
| Express | 15–25 working days | $5,150 |
| Rush | 10–20 working days | $5,950 |
Before you start: Note how first weeks are prepared today and how long it takes. Check whether recent hires got a welcome before starting.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build is paid once. Running it costs about $20 to $100 a month for the automation platform and AI usage, in your own accounts. Google Workspace licenses, including the one for each new hire, are billed by Google as today.
Usage during testing is billed to you too, so the OAuth app and provider accounts belong to your organization.
Ask about running costsCreating the Google Workspace user account itself, managing groups, or copying more than one template set per role sits outside this Scope Card. Add a checkout note for a written Change Quote.
Request a custom versionMonthly maintenance covers monitoring, fixes and change hours for things such as a new Docs template or a different first-week schedule. The hours scale with the build. Maintenance starts after the 30 days of support.

No. Creating the Google Workspace user is not part of the data this connection covers, so your admin still adds the account. The workflow then prepares everything around it: the Drive folder, personalized Docs, Calendar meetings and the welcome draft. Account creation can be quoted separately if needed.
Only the Drive, Docs, Gmail and Calendar scopes needed for the steps you approve, granted through OAuth consent by your admin. The exact list is agreed on the 30-minute call and recorded in the mapping document, and consent can be withdrawn from the Google Admin console at any time.
No, by default it is saved as a Gmail draft for the manager or HR to read and send. You can choose automatic sending at intake if you prefer, but most teams like a person to add a line of their own before the first message goes out.
Yes. Role, department or team from the new-hire record decides which templates are copied, as long as the whole workflow stays within twelve steps. For example, engineers might get a setup guide while sales hires get a territory plan, each personalized with their name and manager.
Yes. Express and rush delivery are available, each with a fixed time and price shown on this page before you buy. All three options include the scope mapping, twenty test runs, two rounds of changes and a recorded forty-five-minute handoff session, so a faster date never means a thinner build.
The one extra system in scope, usually your HR tool, ATS or a shared Google Sheet that HR fills in. When a hire is confirmed there with a start date, the workflow starts. Connecting a second source as well is available as an add-on.
