AI Expense Analysis
Analyses spending patterns and highlights unusual expenses.
QuickBooks bills and payments checked against your spending rules, with every exception listed for a reviewer instead of found at year end.
QuickBooks records what was spent, but it does not tell you when spend breaks your own rules. Duplicate bills, unapproved vendors and missing attachments often surface only at year end. This build checks the bills, vendor records and payments in QuickBooks Online against your written spending rules and lists every exception for a reviewer. It never changes your books on its own.

AI Expense Audit for QuickBooks checks the bills, vendor records and payments in QuickBooks Online against your written spending rules, such as approved vendors, limits per category and missing attachments. Exceptions go into a review queue delivered by email, Slack or a dashboard. Nothing is changed in your books on its own.
When nobody tests QuickBooks spend against policy, small breaches add up: a vendor paid twice, a category over its limit, a bill with no attachment that your accountant later queries. Fixing them at year end costs more than catching them now. After this build, exceptions appear in a review queue soon after they happen, with the record and the rule shown together. Your books stay as they are until someone decides. The Scope Card documents the rules, mapping and outputs before you order.
The audit reads bills and payments in QuickBooks Online and checks them against your limits per category. Breaches land in a review queue with the bill and the rule shown together.
A missing attachment is one of the rules checked on each QuickBooks bill. Your reviewer sees which bills lack backup before payment, without opening every record by hand.
Vendor records are compared with your approved vendor list. A bill or payment to a vendor outside the list is flagged, and nothing in your books changes on its own.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |

| Standard | 20–30 working days | $4,900 |

Before you start: Export a month of QuickBooks bills before work starts. Note how many break your rules, lack attachments or go to unlisted vendors.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running it costs roughly $20 to $150 a month for AI model usage and hosting or scheduling, billed to your own accounts. Your QuickBooks subscription is not changed.
Usage during build and historical testing is also charged to your accounts, so the OAuth app and providers remain yours.

Bills, vendors and payments, plus invoices and customers where your rules need them, all within the documented field mapping. One more source, such as an expense tool or a spreadsheet of card spend, can be added. Custom QuickBooks objects beyond the mapping are excluded unless quoted separately.
Yes. It looks for bills with the same vendor, a matching or near-matching amount and a close date, and puts likely duplicates in the review queue. Your reviewer decides whether it is a genuine duplicate. Nothing is voided or deleted in QuickBooks by the audit.
Only what you approve in the mapping, such as a memo noting that a bill was reviewed. By default it reads and reports. It never approves, pays, voids or recategorises a transaction, and it does not give tax or accounting advice; those decisions stay with your team.
No. The connection uses a QuickBooks Online OAuth app, so the build is for QuickBooks Online. If your books are still in QuickBooks Desktop, describe the setup in a checkout note and you will receive a written Change Quote, or advice on whether this build fits.
The QuickBooks Online connection and field mapping, your spending rules built as checks, and a review queue delivered by email, Slack or a dashboard. Testing runs on three months of your own history. You also get two rounds of changes, a recorded 60-minute handoff and 30 days of support, all written on the Scope Card.
Yes, if they are in the field mapping. A rule can apply a different monthly limit to each class or location, for example a higher travel limit for the sales team. Each rule counts toward the 25 defined checks in scope, so we agree priorities at intake.
