AI Support Knowledge Agent for Freshdesk

Resolved Freshdesk tickets and canned responses become draft solution articles, so customers find answers before raising a ticket.

Freshdesk solution articles only help when they cover what customers actually ask. This agent reads resolved tickets and your canned responses, finds the questions your solution articles miss, and writes drafts in your brand voice. Each draft is saved unpublished in the folder you choose, so your approver checks it before customers ever see it, and your self-service grows with every review.

  • Resolved tickets reveal what your solution articles miss
  • Canned responses turned into fuller, reviewed articles
  • Drafts filed unpublished in the right solutions folder

What it is

AI Support Knowledge Agent for Freshdesk reads resolved Freshdesk tickets and your canned responses, finds questions that your solution articles do not cover, and writes draft articles in your brand voice. Drafts are saved in the Freshdesk solutions folder you choose, unpublished, for an approver to check.

Why businesses buy it

Canned responses are a sign of a missing article: the same answer typed into tickets instead of published where customers can find it. Every one of those tickets is avoidable work. After launch, you get drafts for the gaps, built from answers your team already trusts, filed where your approver expects them. The Scope Card lists the Freshdesk fields, folders and review rules before you order, so your knowledge owner stays in control of what gets published.

Problems this solves

Canned responses cover questions your Freshdesk solution articles never mention

The agent reads resolved Freshdesk tickets and your canned responses. It finds questions your solution articles do not cover, using real tickets rather than guesswork.

The solutions folder has not been updated in months

For each gap, a draft article is written in your brand voice. Drafts arrive regularly, so your knowledge base keeps moving without a dedicated writer.

You need approval before anything reaches the customer portal

Drafts are saved unpublished in the Freshdesk solutions folder you choose. An approver on your team checks each one for accuracy and tone before it appears to customers in your portal.

A good fit if

Freshdesk is your help desk, and your solution articles have fallen behind what customers are actually asking.
Agents rely on a long list of canned responses that hold answers customers could find themselves.
You organize solutions into categories and folders and want drafts placed in the right one for review.
A Freshdesk admin can provide an API key with the admin role and spend 30 minutes confirming the mapping.

Not the right fit if

You use Zendesk. See AI Support Knowledge Agent for Zendesk.
You use Intercom. See AI Support Knowledge Agent for Intercom.
You want Freshdesk agents helped with replies inside open tickets. See AI Support Copilot for Freshdesk.
You want customers answered directly by an AI agent on Freshdesk. See AI Customer Support Agent for Freshdesk.

How it works

  1. A Freshdesk admin supplies an API key with the admin role; on a 30-minute call we map ticket fields, solution categories and folders.
  2. Resolved tickets for the period you set are read and grouped by question, with ticket type and product fields used where you fill them in.
  3. Each group is compared with your published solution articles and your canned responses, and an answer living only in a canned response counts as a gap.
  4. Drafts are written from up to twenty reference articles in your tone, and each one is assigned to the solutions folder its topic belongs in.
  5. Every draft is saved unpublished in Freshdesk, so the approver you name reviews it in the normal solutions editor.
  6. Twenty-five sample drafts are reviewed with you before launch, and two rounds of changes refine tone, length and folder choice.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Freshdesk API key with the admin role, shared securely in the way agreed at intake, never by email.
  • Your Freshdesk admin for 30 minutes to map ticket fields and solution folders.
  • Ten to twenty solution articles you consider well written, plus your tone guidelines.
  • Your escalation rules and support hours, so drafts do not promise what agents cannot deliver.
  • Ticket types or groups that should be left out of the analysis.
  • The approver for drafts and one decision-maker for the build.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Your solution articles can catch up with what customers ask.
  • Approvers can review drafts instead of commissioning them.
  • Customers can find more answers in your portal.
Solution articles published
Count drafts approved and published each month in Freshdesk.
Canned response use on covered topics
Compare canned response usage for each covered topic for four weeks before and after the article goes live.
Tickets on covered topics
Use Freshdesk reports to compare ticket counts by topic before and after publishing.

Before you start: Record your current solution article count and a month of ticket counts by topic in Freshdesk.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build is a one-off cost. Running the pipeline costs roughly $20 to $150 a month in AI model usage, paid in your own accounts and driven by how many tickets are read. Freshdesk stays on your current plan.

AI usage during the build and sample reviews is billed to you directly, so the API key and accounts stay under your control.

Keep it running

Monthly maintenance covers monitoring, fixes and change hours for work such as adding a solutions folder or updating reference articles after a rebrand. It starts after the post-launch support period, bills monthly and can be cancelled any month.

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does the Freshdesk agent turn canned responses into solution articles?

It uses them as evidence and a starting point. When a canned response answers a question that no published solution article covers, that topic is flagged as a gap and the canned wording informs the draft. The canned response itself is left unchanged in Freshdesk.

Can drafts go into specific Freshdesk solution folders?

Yes. Your solution categories and folders are mapped on the 30-minute setup call, and each draft is assigned to the folder that fits its topic. If no folder fits, the draft goes to a holding folder you choose, so your approver can decide where it belongs.

Why does the Freshdesk edition need an admin-role API key?

Because creating solution articles in Freshdesk requires admin-level access. The key is shared securely in the way agreed at intake, never by email. The connection is still limited by the documented mapping, so it only reads tickets and canned responses and writes unpublished drafts.

Which Freshdesk tickets are left out of the analysis?

Any ticket types, groups or tags you list at intake. Common exclusions are billing disputes, legal requests and account security issues. Excluded tickets are never read for drafting, and the twenty-five sample drafts let you confirm nothing sensitive is turning up in article text.

How much do express and rush delivery cost for the Freshdesk knowledge edition?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. All include the Freshdesk mapping, twenty-five reviewed sample drafts, two rounds of changes and the recorded forty-five-minute handoff.

Will the agent rewrite our existing Freshdesk solution articles?

No. It reads published solution articles only to check what is already covered. It does not edit or unpublish them. If an existing article is out of date, that is noted in the gap list for your team, and any rewrite is your decision.

Fill the gaps in your Freshdesk solutions.

Order the Freshdesk edition and resolved tickets and canned responses feed unpublished solution drafts, filed in the right folder for review.
