Employee Lifecycle

AI Helpdesk Agent for Freshservice

Employees get answers from your Freshservice solution articles, and anything unresolved becomes a ticket for the right group.

You have written good solution articles in Freshservice, yet employees still open tickets for questions they answer. This agent puts those articles to work: it answers staff in Slack, Teams or a website widget, and when it cannot resolve something, it opens a Freshservice ticket for the right group with the conversation attached. Your agents get fewer repeat tickets and better-described ones.

  • Staff answered from your Freshservice solution articles
  • Available in Slack, Microsoft Teams or a website widget
  • Unresolved requests opened as tickets for the right group

What it is

AI Helpdesk Agent for Freshservice answers employee IT and internal service questions from your Freshservice solution articles and approved documents, in Slack, Teams or a website widget. When it cannot resolve something, it opens a Freshservice ticket for the right group.

Why businesses buy it

Repeat tickets about passwords, access and devices fill Freshservice queues and push real incidents down the list. Agents copy the same article link again and again. After launch, employees get answers from your own solution articles straight away, and tickets that do get opened are routed to the right group with context. The Scope Card lists the channel, connected systems and topics covered before you order, so your IT lead knows exactly what changes in the queue.

Problems this solves

Freshservice fills with tickets that a solution article already covers

The agent answers employee IT and internal service questions from your Freshservice solution articles and approved documents. Many simple questions end without a ticket being opened.

Tickets arrive with too little detail to act on

When the agent cannot resolve something, it opens a Freshservice ticket for the right group. The question and conversation are carried across through the documented field mapping.

Staff do not want to log into another portal to ask

Employees ask in Slack, Teams or a website widget, whichever one channel you choose. The agent answers there and only raises a ticket when it must.

A good fit if

Your IT team works in Freshservice and closes many tickets by pointing people to a solution article.
Asset records in Freshservice are kept current, so they are worth including in the agent's field mapping.
A Freshservice admin can provide an API key and join a 30-minute setup call.
Staff would rather ask in Slack or Teams than fill in a portal form.

Not the right fit if

Your service desk runs on Jira Service Management. See AI Helpdesk Agent for Jira Service Management.
Your agents want reply drafts and article suggestions while they work tickets, not a self-service first answer. See AI Support Copilot.
You mainly need tickets that require escalation spotted and packaged for the next tier. See AI Escalation Agent.
You need a second channel, more than five intents or custom Freshservice objects outside the mapping. Add a note at checkout for a Change Quote.

How it works

  1. A Freshservice API key connects the agent, and your admin agrees which ticket fields, asset records and solution articles are in the mapping.
  2. Selected solution articles and documents, up to 100 documents or 200 web pages, form the knowledge it answers from.
  3. Staff ask in the single channel you pick, Slack, Teams or a website widget, and five intents cover the requests you see most.
  4. If approved content holds the answer, it replies with it. If not, it opens a Freshservice ticket for the group your escalation rules name.
  5. Ticket updates, such as adding a follow-up message to an open ticket, are limited to what the agreed mapping allows.
  6. Before launch, 40 test questions are run with pass or fail results, and ticket creation is checked on test records.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A Freshservice API key from an admin account.
  • Your Freshservice admin for a 30-minute setup call.
  • The solution articles, FAQs and policies to answer from, and your top 20 questions with approved answers.
  • Escalation rules, which groups own which ticket types, and your support hours.
  • Admin access for the chosen channel, Slack, Teams or your website, with logo and brand colors.
  • One decision-maker for approvals.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Tickets on common topics
Compare Freshservice tickets on your five configured intents for four weeks before and after launch.
Tickets reassigned between groups
Count group reassignments in Freshservice reports. Compare the month before and after launch.
Conversations closed without a ticket
Use the agent's log to count conversations that ended without opening a ticket each week.

Before you start: Export a month of Freshservice tickets by category and group, including reassignment counts.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

Expect roughly $30 to $150 a month after launch, paid in your own accounts for AI model usage and hosting. The build price is charged once.

Freshservice stays on your current plan; licenses and upgrades are outside the build. Build and test usage is billed to your accounts.

Keep it running

Monthly maintenance covers monitoring, fixes and change hours for things such as new solution articles or a revised ticket category. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can it answer from our Freshservice solution articles?

Yes. Solution articles you approve become part of its knowledge, alongside other documents, up to 100 documents or 200 web pages in total. It answers only from that set. Articles you rewrite later can be refreshed in the agent through the change hours included with maintenance.

What does it do with Freshservice asset records?

Asset records are part of the two-way mapping, so the agent can read the asset fields your admin includes, for example to record which item a request concerns when it opens a ticket. Exactly which asset fields it reads or updates is agreed at intake and written into the documented mapping.

Does it open Freshservice tickets automatically?

Yes, for requests it cannot resolve. The ticket goes to the group your escalation rules name, with the employee's question and the conversation attached. Ticket creation is tested on test records before launch, so you see exactly what a handed-off ticket looks like before staff use it.

What Freshservice access does this build need?

A Freshservice API key, provided by your admin, plus that admin on a 30-minute setup call to agree the mapping. The key belongs to your Freshservice account, scoped to the agreed tickets, assets and solution articles, and your admin can rotate or revoke it whenever you choose.

What will the Freshservice helpdesk agent cost to run?

About $30 to $150 a month in your own accounts for AI model usage and hosting, depending on how many questions staff ask. Freshservice licenses or plan upgrades are not part of this build, and nothing is billed through us after the one-time build price.

When can the Freshservice helpdesk agent be live?

You see the fixed delivery time before you buy, counted from a verified intake, and you can choose express or rush delivery if your launch date is close. The schedule holds when the API key, articles and escalation rules arrive within 72 hours of ordering.

Let solution articles answer before a ticket opens.

Order the Freshservice edition and your solution articles answer staff before a ticket opens, while unresolved requests reach the right group with context.
