What is an AI agent? A plain-English guide for business owners
What an AI agent is, how it works, where it helps a small business, the risks, and a 7-point check to see if you are ready for one.
ClickUp tasks stuck in one status too long are spotted, their owners nudged, and progress summed up for the team on schedule.
In ClickUp, work rarely fails loudly. It sits in review or waiting for a week while everyone assumes it is moving. This agent tracks your ClickUp lists, spots tasks that are overdue or stuck too long in one status, and nudges the owner on the task. Your team gets a progress summary on schedule, and dates or assignees change only with approval.

AI Project Manager Agent for ClickUp tracks the tasks in your ClickUp lists, spots work that is overdue or stuck too long in one status, and nudges the owner with a comment on the task. It posts progress summaries to your team channel, and any change to dates or assignees waits for approval.
Custom statuses make ClickUp flexible, but they also create quiet parking spots where tasks wait for days. Leads end up opening list after list to find what is stuck, and the follow-up depends on who has time. This agent checks every watched list against the limits you set, nudges owners on the task and escalates in your channel when nothing moves. Work keeps flowing and leads stop playing detective. The lists, status limits and what the agent may change are written on the Scope Card before you order.
The agent tracks tasks across your ClickUp lists and spots ones stuck too long in a single status. You agree how long is too long for each status during setup.
When a task goes overdue, the agent nudges the owner with a comment on the task. The reminder sits where the work lives, not in a separate inbox.
It posts progress summaries to your team channel from the ClickUp data itself. Any change to dates or assignees waits for approval, under rules agreed with you.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $4,900 |
| Express | 15–25 working days | $5,750 |
| Rush | 10–20 working days | $6,600 |
Before you start: Note how many tasks are overdue and how many have sat in one status too long today. Record who writes progress updates and how long they take.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running costs come to roughly $50 to $250 a month for AI model usage and hosting in your own accounts, separate from your ClickUp subscription. ClickUp licenses and plan upgrades are not included.
We bill nothing per task, and AI usage during build and testing also runs through your accounts.
Ask about running costsIf you need different rules for many teams, a third system, or custom ClickUp objects beyond the mapping, add a note at checkout for a written Change Quote.

How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A ClickUp reporting add-on charges per seat | A project coordinator is an ongoing salary | Ours is one fixed price, shown before you buy |
| Stuck work | An automation fires on a date, not on time in status | Noticed in stand-up, sometimes | Ours sets a time limit for each status |
| Escalation | One reminder, then silence | Depends on the coordinator | Ours nudges on the task, then escalates in your channel |
| Delivery | You build the automations yourself | Set by hiring | Ours has a fixed delivery time shown before you buy, with faster options |
You set a time limit for each custom status during setup, for example two days in review. The agent tracks how long each task has been in its current status and how close it is to its due date. Crossing either line triggers a comment to the owner on the ClickUp task.
Tasks, lists and comments, on the field mapping your admin approves. It reads tasks across the watched lists and writes comments to owners. Changing a due date, assignee or status needs your approver unless your rules allow a specific case. Custom ClickUp objects are outside this build.
In the one channel on the Scope Card, usually your team's Slack or Teams channel. It lists tasks closed, tasks stuck by status and tasks due before the next summary, drawn from live ClickUp data. You choose the schedule, and adjusting it later fits inside monthly maintenance.
The clock starts once your ClickUp token, status limits and approver are verified, which is due within 72 hours of ordering. Standard, express and rush delivery times are shown in the delivery panel before you buy. Agreeing your status limits early, such as how long a task may sit in review, keeps the build moving.
Only if your rules say so for that case. By default, status, date and owner changes are proposed to your named approver and written to ClickUp only after a yes. You can start with no automatic changes at all and widen the rules later through monthly maintenance.
Roughly $50 to $250 a month for AI model usage and hosting in your own accounts, rising with the number of lists watched and workflows active. Your ClickUp subscription is separate. Monthly maintenance is optional and starts after the 30 days of support, covering changes like a new status limit or another list.
