AI receptionist for small business: calls, bookings and handoffs
What an AI receptionist does on a real call, the rules that apply, a sample greeting and a pass/fail checklist to launch one safely.
Calls into your RingCentral account answered by AI, run through your defined flows, and written into the RingCentral call log.
RingCentral already runs your phones, so you should not have to move numbers to add an AI agent. This one answers a number in your RingCentral account, works each caller through one of up to five call types and transfers live to colleagues when needed. Outcomes land in the RingCentral call log your managers read, and recordings stay in your account.

AI Inbound Call Agent for RingCentral picks up a number in your RingCentral account and works each caller through one of up to five defined call types. A RingCentral app with call control permissions lets it answer and transfer, and each call, recording and call log entry is updated on an agreed mapping.
Busy lines on RingCentral mean callers on hold, abandoned calls and managers who cannot see what happened. Adding a separate voice bot often means porting numbers or reading another report. This edition works inside the RingCentral setup you already pay for. Routine call types are finished by the agent, the rest reach colleagues through familiar transfer paths, and each outcome appears in the call log. The Scope Card sets out the permissions, flows and second system before purchase, so your admin knows exactly what the app will touch.
The agent picks up a number in your RingCentral account. It works each caller through one of up to five defined call types. Each call is taken to a clear outcome.
A RingCentral app with call control permissions lets the agent answer and transfer calls itself. Callers reach a person only when their call type needs one.
Each call, recording and call log entry is updated on an agreed mapping. The log can show the call type and outcome, not just the number and duration.
The setup is tested on sandbox or test records first, and the results go into a test report. You can see how each call type behaves before it handles real callers.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $6,900 |
| Express | 15–25 working days | $7,950 |
| Rush | 10–20 working days | $8,950 |
Before you start: Export four weeks of RingCentral analytics for the number, with queue times. Sample recent calls to see how often they were transferred.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build is paid for once. Running costs land in your own accounts: about $0.13 to $0.31 per call minute all in, for the voice platform, AI model and telephony, plus the number's rental. Your RingCentral subscription is unchanged and stays between you and RingCentral.
The AI usage that build and testing consume is also billed to you directly.
Ask about running costsIf you want more than five flows, a second RingCentral number, or custom RingCentral objects outside the documented mapping, add a note at checkout. A written Change Quote comes back.

How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A phone-system AI add-on usually charges per user each month | A telephony integrator quotes after discovery | Ours is one fixed price, shown on this page before you buy |
| Call log | AI calls may be logged in the add-on, not your phone system | Depends on the brief | Ours writes each outcome into the RingCentral call log |
| Transfers | Often one fixed fallback number | Agreed during the build | Ours transfers per call type through call control |
| Delivery | Quick to enable, slow to fit your call types | Set per project | Ours has a fixed delivery time shown before you buy, with faster options |
Because the agent has to answer and transfer live calls, not just read call history. Call control lets it hand a caller to the right colleague or number mid-call. Your admin registers the app with those permissions, and the agreed mapping limits what the agent touches to calls, recordings and call logs.
The outcome of each call, in the fields agreed in the mapping, next to the call's normal RingCentral details. The recording stays in your RingCentral account. A fuller transcript and summary can go to the one other system you connect, such as a CRM, so the call log itself stays short and readable.
The core AI Inbound Call Agent connects to your telephony and up to two systems. This edition adds a fixed amount for the RingCentral work itself: call control for live answer and transfer, call log updates, recordings and a documented field mapping. Both prices are shown in the panel on each product page before you pay, and neither changes once you order.
Yes, within the transfer rules you set. Each call type gets its own destination, which can be a colleague, a team line or an outside number. If nobody answers, the agent takes a message and logs it with the call. Destinations can be changed after launch within the monthly change hours that come with maintenance.
No. The agent answers one number that stays in your RingCentral account, so there is no porting and nothing changes for callers. Your RingCentral licenses and plan remain as they are, since upgrades are not part of this build. A second answered number later is handled through a Change Quote.
We run 50 test calls across all five flows using test records in your RingCentral setup. You get every transcript, and we check that transfers land where they should and that call log entries carry the right outcome. Two rounds of changes follow your review, before the agent answers real callers.
Roughly $0.13 to $0.31 per call minute all in, covering the voice platform, AI model and telephony, plus number rental, billed to your own accounts. Your RingCentral subscription is separate and does not change. Monthly maintenance is optional, and we recommend it.
