AI Voice Receptionist for RingCentral

Your RingCentral main number answered by an AI receptionist that hands calls to the right extension and logs every one.

Callers to your RingCentral main number often face a keypad menu or a queue, and calls after hours go nowhere useful. This receptionist answers the number you choose, handles routine questions in natural conversation, and transfers callers by what they need to the right RingCentral extension. Every call log and recording is updated in RingCentral, so admins see AI-handled calls with the rest.

  • Callers say what they need instead of pressing keys
  • Transfers to the right RingCentral user or extension
  • Call logs and recordings updated inside RingCentral

What it is

AI Voice Receptionist for RingCentral answers a number on your RingCentral phone system, handles routine questions, takes messages and transfers callers to the right person. It works through a RingCentral app with call control permissions, reading and updating calls, recordings and call logs through a documented field mapping.

Why businesses buy it

A keypad menu makes callers work to reach a person, and many hang up before they do. Calls outside office hours often end in voicemail no one checks. This receptionist sits on your RingCentral number, understands what callers ask for and sends them to the right extension, while answering routine questions itself. Your team takes fewer misrouted calls, and every interaction stays logged in RingCentral. The Scope Card lists the app permissions, field mapping, call flows and second system before you order.

Problems this solves

Callers hit the RingCentral phone menu and hang up

The receptionist answers a number on your RingCentral system and talks to callers in plain language. It handles routine questions and takes messages, transferring to the right person when needed.

Calls bounce between RingCentral extensions before reaching the right person

A RingCentral app with call control permissions lets the receptionist transfer calls directly. Your call flows decide who should take each type of call, so transfers land in the right place.

Call logs show a call happened but not what it was about

Calls, recordings and call log entries are updated through a documented field mapping. Each call record can carry what the caller needed, not just the time and length.

Giving a new tool broad rights to your phone system feels risky

Access runs through a RingCentral app holding the call control permissions it needs. It is set up through user invites or keys you control, and no keys are sent by email.

A good fit if

Your company phones run on RingCentral and the main number rings round desks until someone gives up and answers.
Callers usually want one of a few people or teams, and working out which one takes a receptionist's time.
You want call logs and recordings kept in RingCentral alongside the rest of your company's calls.
You have a RingCentral admin who can approve an app with call control permissions and join a 30-minute setup call.

Not the right fit if

Your team works in Aircall rather than RingCentral. See AI Voice Receptionist for Aircall.
You mainly need calls routed by intent with no questions answered. AI Voice Routing, routes calls to the right person or team.
Set inbound call types need resolving end to end on RingCentral. See AI Inbound Call Agent for RingCentral.
You want summaries of your team's own calls written into your CRM. See AI Call Summarization.

How it works

  1. A RingCentral app is approved. Your RingCentral admin authorizes an app with call control permissions on a 30-minute setup call, and the number the receptionist answers is agreed.
  2. The caller's need is found. After your greeting and recording disclosure, the receptionist works out whether the caller has a routine question, wants a booking or needs a particular person.
  3. Routine questions are answered from your material. Hours, directions, prices you publish and process questions come from up to 50 documents or an FAQ set.
  4. Calls are handed to the right extension. Using call control, callers are transferred to the RingCentral users or numbers you map to each call flow, up to five flows in total.
  5. Missed transfers become messages. If the person does not pick up, the receptionist takes a message and records it with the call.
  6. Call logs and recordings stay in RingCentral. Each call's log entry and recording are updated through the agreed mapping, and your one other connected system receives bookings or summaries.

Expected benefits and how to measure them

  • Can help more callers reach the right person at the first transfer.
  • Helps RingCentral call logs explain what each call was about.
  • Makes access easy to review because the permissions are documented.
Abandoned calls on the main number
Use RingCentral analytics. Compare four weeks before launch with four weeks after.
Calls transferred more than once
Sample call logs each month and count calls with more than one transfer. Compare with a sample from before launch.
Calls resolved without a transfer
Count them from the call log monthly to see which questions the receptionist handles fully.

Before you start: Export four weeks of RingCentral analytics for the main number, including abandoned calls. Sample how often calls are transferred more than once.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Call costs run in your own accounts at about $0.13 to $0.31 per minute all in, covering the voice platform, the AI model and telephony, plus number rental. Your RingCentral licenses carry on unchanged and are billed by RingCentral.

AI usage during the build and testing is charged to your accounts as well.

Custom requirements

If you need custom RingCentral objects mapped beyond the agreed fields, more than five call flows, or a third connected system, add a note at checkout. A written Change Quote arrives. RingCentral licenses and plan upgrades are not part of the build.

Keep it running

When the 30 days of support end, optional monthly maintenance keeps the receptionist up to date: monitoring, fixes, model and RingCentral updates and a monthly health report. Change hours handle small edits like a new extension or holiday hours. Bigger work needs a Change Quote. Cancel any month.

$345/mo (5% of the build price a month, includes 3 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

What RingCentral permissions does AI Voice Receptionist for RingCentral need?

A RingCentral app with call control permissions, approved by your admin. Call control lets the receptionist answer the agreed number and transfer callers to extensions. The app also reads and updates calls, recordings and call logs through the documented field mapping. Your admin joins a 30-minute setup call to authorize it.

Can it transfer callers to individual RingCentral extensions?

Yes. Each call flow has its own transfer target, which can be a RingCentral user, extension or external number. When a caller asks for someone by name or describes a need that matches a flow, the receptionist transfers them; if nobody answers, it takes a message and records it with the call.

Does the RingCentral receptionist replace our keypad menu?

It can sit in front of it on the number you choose. Callers say what they need instead of pressing keys, and the receptionist answers routine questions or transfers them. If you only want the menu replaced, without answering questions, AI IVR Intelligence is the narrower option and worth comparing first.

Where do RingCentral call logs and recordings end up?

In RingCentral. Each call's log entry and recording are updated through the agreed field mapping, so your admins see AI-handled calls alongside the rest. Summaries and bookings can also go to the one other system you connect, such as a calendar or CRM.

How is the RingCentral edition tested before going live?

Against live sandbox or test records in your RingCentral account. We run 50 test calls covering your call flows and transfers, confirm call logs and recordings update as mapped, and send you every transcript. Two rounds of changes follow before the number goes live.

How long until the RingCentral receptionist is answering, and can it be sooner?

Delivery time for each speed, including faster options, is shown in the panel on this page. The clock starts once the RingCentral app is approved by your admin and your scripts and extension map are in, so a prompt admin keeps the date. Each speed delivers the same Scope Card.

Are RingCentral licenses part of the build price?

No. The build price covers the configuration, testing and handoff on the Scope Card. RingCentral licenses and plan upgrades stay with you, and call usage runs in your own accounts at about $0.13 to $0.31 per minute all in, plus number rental. Monthly maintenance after launch is optional.
