AI Internal Search for Microsoft 365

SharePoint and OneDrive files found from one search, ranked with a cited snippet, inside the Graph permissions IT approves.

In a large Microsoft 365 tenant, nobody remembers which SharePoint site holds what, and OneDrive folders multiply. This search bar gives up to 50 people one ranked search across SharePoint, OneDrive and other approved Microsoft 365 data, with a cited snippet from each result. Your IT team controls every Microsoft Graph permission, and results are filtered by group.

  • One ranked search across every approved SharePoint site
  • Search from Microsoft Teams without opening another tool
  • Named Microsoft Graph permissions that IT controls

What it is

AI Internal Search for Microsoft 365 gives up to 50 people one search bar across SharePoint sites, OneDrive and other approved Microsoft 365 data, returning ranked results with a cited snippet from each. It connects through an Azure app registration with Microsoft Graph permissions your IT team controls. Staff can search from Teams.

Why businesses buy it

SharePoint sprawl costs real time: people search site by site, give up, and recreate documents that already exist. Managers then find three versions of the same policy. This edition ranks results across your approved Microsoft 365 content with a cited snippet, so staff find the right file first and leadership material stays with leadership. Access runs through an Azure app registration with named Graph permissions, not a broad service account. The Scope Card fixes the sites, document volume, permission groups and benchmark queries before you order.

Problems this solves

SharePoint sites multiply and staff lose track of where files live

One search bar spans the SharePoint sites, OneDrive and other Microsoft 365 data you approve. Ranked results show a cited snippet, so people find a file without knowing its site.

IT wants firm control over what a new tool can read

The connection runs through an Azure app registration with Microsoft Graph permissions your IT team controls. The field mapping documents what is read, and keys stay in your hands.

People work in Teams and won't open another app to search

Microsoft Teams can be the one interface, so staff search from the place they already work. Up to 50 people get cited results without switching windows.

Restricted HR or finance libraries must not appear for everyone

Results follow up to three permission groups agreed during the build. Restricted content stays limited to the people meant to see it. The admin guide records how the groups are set up.

A good fit if

Documents are spread across many SharePoint sites and OneDrive folders, and nobody remembers which site holds what.
Your team lives in Microsoft Teams and would rather search from there than open another tool.
IT wants access granted through an Azure app registration with named Microsoft Graph permissions, not a broad service account.
Three permission groups, for example all staff, managers and leadership, cover who should see which results.

Not the right fit if

You want a conversational, cited answer rather than results to open. See AI Company Knowledge Hub for Microsoft 365.
Your knowledge base is mostly Confluence pages. See AI Internal Search for Confluence.
Staff mainly raise IT and internal service requests in Teams. See AI Helpdesk Agent for Microsoft Teams.
You need to know which questions your documents cannot answer yet. See AI Knowledge Gap Finder.

How it works

  1. IT registers the app. Your Microsoft 365 admin creates an Azure app registration with the Microsoft Graph permissions agreed on a 30-minute call, covering only the sites and data in scope.
  2. Sources are listed. We document which SharePoint sites and libraries, OneDrive folders and, if approved, Outlook or Teams content are indexed, up to 2,000 documents in total with one more system.
  3. Permission groups are set. Each source is assigned to one of up to 3 groups, so results reflect who is searching.
  4. Queries come from the one interface you choose: Microsoft Teams, a web app or Slack, for up to 50 users.
  5. Each match shows a short cited passage and where it lives, so the searcher can tell a draft from a final policy before opening it.
  6. A monthly refresh re-reads changed files, and 60 benchmark queries with an accuracy report check the ranking before you go live.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • An Azure app registration with the Microsoft Graph permissions we list, created by your admin and shared securely in the way we agree at intake, never by email.
  • Your Microsoft 365 admin for a 30-minute scoping call.
  • The SharePoint sites, libraries and OneDrive locations to index.
  • A decision on whether any Outlook or Teams content belongs in search.
  • Your user list, permission groups and 30 sample queries with the documents you expect.
  • Admin access for sign-in on your chosen interface.
  • Your business basics and one decision-maker for approvals.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can reduce time lost working out which SharePoint site holds a file.
  • Makes it easier for IT to approve, because access stays under their control.
Time to locate a SharePoint file
Time ten common lookups with current Microsoft 365 search, then repeat them in the new search after launch.
File-location requests
Count helpdesk tickets or Teams messages asking where a file lives, four weeks before launch and four weeks after.
Result accuracy
Re-run part of the benchmark after a monthly refresh and compare with the accuracy report from launch.

Before you start: List the SharePoint sites and OneDrive areas in scope and who owns each. Time a few searches staff run often today.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. After launch, AI model usage, the vector database and hosting run roughly $50 to $300 a month in your own accounts, depending on how much is indexed and how often people search. Microsoft 365 licensing stays as it is.

Testing usage during the build is billed to your accounts too.

Questions about this product

Which Microsoft Graph permissions does the search edition need?

Only those agreed on the 30-minute scoping call, usually read access to the SharePoint sites and OneDrive content being indexed, plus Outlook or Teams data if you choose to include it. Your admin creates the Azure app registration and can remove any permission at any time.

Can people run Internal Search from inside Microsoft Teams?

Yes, if you pick Teams as the one interface in scope. Users type a query where they already work and get ranked results with snippets. A web app or Slack is possible instead. Running two interfaces at once is outside this Scope Card and needs a Change Quote.

Does it search every SharePoint site in our tenant?

No, only the sites and libraries listed in the field mapping, up to 2,000 documents in total. That keeps archives and private project sites out unless you add them. Expanding to more sites later is a maintenance change if it fits the limit, or a Change Quote if it does not.

Could Microsoft 365 search results expose documents someone should not see?

No. Each indexed source is placed in one of up to 3 permission groups, and every result is filtered against the searcher's group before it is shown. The groups are approved by your decision-maker before launch and checked during the 60-query benchmark run.

What does the Microsoft 365 search build include, whichever delivery speed we pick?

Every delivery option includes the Microsoft Graph connection through your Azure app registration, indexing of approved SharePoint and OneDrive content, three permission groups, 60 benchmark queries and a recorded sixty-minute handoff session. The delivery panel shows the standard date and the faster express and rush options before you order.

What are the monthly running costs for search on Microsoft 365?

Roughly $50 to $300 a month for AI model usage, the vector database and hosting, paid in your own accounts. Costs grow with indexed documents and search volume across your up to 50 users. Microsoft 365 licenses are unaffected and remain billed by Microsoft.

Search every approved SharePoint site from one bar.

Order AI Internal Search for Microsoft 365 and your team finds SharePoint and OneDrive files from one search on a fixed delivery date, ranked, cited and filtered by group.
