AI Invoice Intelligence for Hotels & Hospitality

Food, beverage, linen and maintenance invoices are read, checked and coded to the right department without a night of data entry.

A hotel buys from dozens of suppliers every week, and their invoices land in every format you can imagine. Someone still has to key them in after the shift and split the cost between rooms, kitchen, bar and housekeeping. This build reads each invoice and credit note, checks totals and duplicates, and codes it to the right department. Your team only reviews the ones that do not add up.

  • Supplier invoices and credit notes coded to each department
  • Short deliveries and repeat invoices caught before they are paid
  • Monthly department costs ready without a late night of entry

What it is

AI Invoice Intelligence for Hotels & Hospitality reads the supplier invoices and credit notes a hotel collects every week, from food and beverage to laundry and maintenance contractors, checks totals and duplicates against your rules, and codes each one to the right department. Uncertain items wait for review. It includes the Hotels & Hospitality workflow template.

Why businesses buy it

In hospitality, the back office is often one accounts person or the general manager working after hours. Invoices pile up, credit notes for short deliveries go missing, and department costs arrive too late to act on. After this build, invoices and credit notes are captured as they come in and coded the way your monthly report needs them. You see food, beverage and housekeeping spend while you can still change it. The Scope Card lists the invoice types, fields and checks in writing before you order, so there are no surprises.

Problems this solves

Department heads can't see their true costs until weeks later

Each supplier invoice and credit note is coded to the right department, from food and beverage to laundry and maintenance. Costs reach department reports as soon as invoices are processed.

Credit notes from suppliers go missing or get applied twice

Credit notes are read alongside invoices and checked against your rules for totals and duplicates. Mismatches wait for review, so credits are applied once and against the right invoice.

Weekly invoice volume overwhelms a small hotel finance team

Invoices from food and beverage, laundry and maintenance suppliers are captured from one intake route. The Hotels & Hospitality field set does the reading, and only uncertain items need attention.

A good fit if

Dozens of small suppliers deliver to the kitchen, bar and housekeeping, and their invoices arrive in every format imaginable.
Costs need splitting across departments such as rooms, food and beverage, housekeeping and maintenance for your monthly report.
Credit notes for returned or short-delivered goods get lost, and you want them captured as their own document type.
A lean back-office team, often the general manager or one accounts person, does the entry after the shift ends.

Not the right fit if

You need housekeeping and maintenance requests coordinated, not supplier invoices processed. See AI Hotel Operations Assistant.
You want staff expense claims checked against policy rather than supplier invoices. See AI Expense Audit.
You want invoices routed to department heads for approval and then scheduled for payment. See AI Accounts Payable Agent.
You run several properties that each need separate coding. Add the Multi-Location Setup add-on to this build rather than buying it twice.

How it works

  1. Invoices and credit notes reach one inbox. Suppliers keep emailing the accounts address, and delivery-day paper is scanned into an upload folder.
  2. The useful fields are captured. Supplier, invoice or credit note number, delivery date, line items, tax and total, up to 25 fields per document type.
  3. Each document is checked. Lines must add up, the supplier must be one you buy from, and a repeated number is stopped before it is paid twice.
  4. Department coding follows your report. Kitchen, bar, housekeeping and maintenance spend each map to the accounts and cost centers you set.
  5. Questions go to one reviewer. Low-confidence fields, failed totals and unknown suppliers queue up with the scan, so the reviewer clears them in one sitting.
  6. Approved items post. Invoices and credit notes are written to QuickBooks or your accounting system against the right supplier.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • At least 20 real examples of each document type, for instance food and beverage invoices, laundry invoices and credit notes.
  • The fields you want, including delivery dates and any outlet or department your suppliers print.
  • The checks to run, such as your approved supplier list and when a credit note should be queried.
  • Access to your accounting system as the destination for approved documents.
  • Your chart of accounts and the departments or cost centers you report on.
  • A named reviewer for flagged items, and admin access and API keys for each connected system, never sent by email.
  • One decision-maker who approves the setup and the accuracy report.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can give department heads a clearer, earlier view of their costs.
  • Helps make sure supplier credits are actually received and applied.
Days to close department costs
Compare how many working days after month-end department cost reports are ready, before launch and after.
Credit notes applied correctly
Each month, check a sample of credit notes against the invoices they relate to.
Invoices held for review
Track how many invoices go to the review queue each week as the rules settle in.

Before you start: Note how many supplier invoices and credit notes arrive weekly. Record when department cost reports are ready after month-end.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Running costs land in your own accounts, roughly $30 to $200 a month for OCR, AI usage and storage, and they follow how many invoice pages your suppliers send in a busy season.

Build and test usage is billed to you directly too. This supports your back office and is not regulated financial, tax or investment advice.

Custom requirements

A group with several hotels, a fourth document type or a third connected system is outside this scope. Add a note at checkout for a written Change Quote, or add Multi-Location Setup for separate property coding.

Request a custom version

Keep it running

Monthly maintenance is recommended: monitoring, fixes and monthly change hours, enough for a new supplier or a reshuffled department code before the season. Maintenance begins after the 30 days of support.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Can AI Invoice Intelligence for Hotels & Hospitality split costs by department?

Yes. You give us the departments or cost centers you report on, such as rooms, food and beverage, housekeeping and maintenance, and the rules for choosing between them. Each invoice or line is coded accordingly, and anything that does not fit a rule waits for your reviewer.

Do credit notes from suppliers get handled?

Yes. Credit notes can be one of your three document types, with their own fields and checks. They are captured with the supplier and original invoice reference where printed, then posted against the right supplier once approved, so short deliveries and returns are not forgotten.

We have three hotels. Is one build enough?

One build covers one intake route and coding for one property setup. For several hotels that each need their own cost centers, add the Multi-Location Setup add-on to the same order instead of buying the build twice. If each property also uses a different accounting system, mention it at checkout and you get a written Change Quote first.

Some local suppliers still hand over paper invoices. Is that a problem?

No. Paper invoices can be scanned or photographed into the upload folder and are read the same way as emailed PDFs. Faint or crumpled copies may produce low-confidence fields, and those are queued for your reviewer rather than posted, so quality issues stay visible.

What does the hospitality edition cost to run in peak season?

Running costs depend on page volume, roughly $30 to $200 a month for OCR, AI usage and storage in your own accounts. A busy season with more deliveries pushes usage up; a quiet month brings it down. There is no per-invoice fee from us, and maintenance is optional.

Can the hotel edition be live before our busy season?

Usually, yes. The delivery panel on this page shows the fixed delivery date, plus express and rush options, before you order. The clock starts once your sample invoices, department codes and accounting access are in, and those are due within 72 hours of ordering. Order with your season in mind and send the samples promptly.
