AI Features & Bots

AI Website Chatbot for Professional Services

Prospective clients get clear answers about your services and how you work, and serious enquiries reach a partner with context.

Partners lose billable hours answering first questions about services, sectors, process and fees. This chatbot answers them on your firm's website from your own pages and guides, in a measured professional tone. It never gives advice. Serious enquiries arrive in your intake inbox as a short written brief, so the partner who calls back already knows the situation.

  • Prospective clients get clear answers about services and process
  • New enquiries reach partners as a short written brief
  • Stays inside your published content and never gives advice

What it is

AI Website Chatbot for Professional Services answers prospective and existing clients on your firm's website about services, sectors, engagement process and published fees, using your own pages and guides. New enquiries are summarized and passed to your intake inbox, and client-specific questions go to the right team. It includes the Professional Services workflow template. It never gives professional advice.

Why businesses buy it

Clients choosing an accountant, consultant or advisory firm often contact several at once, and the firm that responds clearly and quickly tends to win the meeting. Yet partners cannot sit on a website inbox. This chatbot gives every visitor a prompt, accurate answer from your own material, then hands genuine enquiries over with the context already gathered. The written scope sets content, intents, boundaries and testing before you order, so the firm knows exactly what it is approving.

Problems this solves

Partners spend billable time answering basic service enquiries

The chatbot answers questions about your services, sectors, engagement process and published fees from your own pages and guides. Partners can keep their time for conversations that need their expertise.

New enquiries arrive thin and need several emails to qualify

Each new enquiry is summarized and passed to your intake inbox. Your team starts from a clear note of what the prospect asked, rather than a one-line contact form.

Existing clients use the website form for account questions

Client-specific questions are routed to the right team through the handoff. The chatbot never gives professional advice, so anything needing judgment reaches a qualified person.

A good fit if

Partners and senior staff answer the same introductory questions about scope, process and fees before any billable work starts.
Your website already explains services, sectors and how an engagement runs, but visitors still email to ask.
You want new enquiries described in writing, with the visitor's need and timing, before anyone books a call.
Existing clients sometimes use the site to ask for updates, and those should reach the account team rather than a general inbox.

Not the right fit if

You need new-client information and documents collected and validated as part of onboarding. See AI Client Intake.
Clients want regular, accurate project status updates. See AI Project Status Agent.
Staff need to search past work, methods and templates internally. See AI Professional Services Knowledge Base.
You want enquiries booked straight into consultation slots. See AI Appointment Setter for Professional Services.

How it works

  1. It learns how your firm presents itself. Service and sector pages, engagement guides, fee pages and published insights, up to 100 documents or 200 pages.
  2. Five client-facing intents are set up. Typically services and expertise, how engagements work, fees and terms, new enquiries, and existing client requests.
  3. It answers in your firm's tone. Terms and examples are tuned for clients, and it never offers professional advice beyond what your pages state.
  4. New enquiries become a short brief. The visitor's need, organization, and timing are passed to your intake inbox or helpdesk with the full conversation.
  5. Existing clients reach their team. Requests about a live matter or project are handed to the right address instead of being answered by the bot.
  6. It passes 40 test questions before launch. Taken from real enquiries your firm receives, each marked pass or fail.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Service, sector, fee and engagement pages, plus any published guides, as files or URLs.
  • Your top 20 client questions, with the answers your partners approve.
  • The intake inbox, and the addresses or helpdesk queues for existing client teams.
  • Website admin access or your developer, plus repository or hosting access and a technical contact.
  • Logo, brand colors and any wording your firm must use when describing services.
  • Admin access and API keys for the handoff system, never sent by email.
  • One decision-maker, often the managing partner, to approve answers and launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Can protect partner time for billable work
  • Helps intake staff qualify enquiries faster from a written summary
  • Gives prospective clients consistent answers about how you work
Enquiry-to-consultation rate
Take enquiries and booked consultations from your CRM. Compare the quarter before launch with the quarter after.
Follow-up emails per new enquiry
Sample new enquiries before and after launch. Count the emails needed before each one is qualified.
Non-billable time on first replies
Use your timesheet codes for business development. Compare monthly totals before and after launch.

Before you start: Record how many website enquiries arrive each month and how many become consultations. Estimate how much fee-earner time goes on first replies.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build itself is a one-time payment, shown before you buy. Running costs are roughly $30 to $150 a month for AI model usage and hosting, billed in your firm's own accounts.

Usage during build and testing is billed to you directly, so hosting and AI accounts belong to the firm.

Custom requirements

Logging enquiries straight into your CRM or practice management system, a second language, or a sixth intent is outside this Scope Card. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

We recommend monthly maintenance for this build. It covers monitoring, fixes and monthly hours for new services, revised fees, fresh insight pages or tweaks to the intake brief. The change hours scale with the build, so larger firms with several practice areas get more room. Maintenance starts after the included support period and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Will AI Website Chatbot for Professional Services give advice to visitors?

No. It explains what your firm does, how engagements work and what your published pages say about fees. It does not give professional advice on a visitor's situation. When a question needs judgment, it offers to pass the enquiry to your team with the conversation attached.

What does a partner receive when a new enquiry comes in?

A short brief in the intake inbox or helpdesk: the visitor's need, their organization, the timing they mentioned and the service it relates to, followed by the full conversation. That means the first call starts from what the prospect already explained instead of repeating it.

Can existing clients ask about their project through it?

They can ask, and the request is handed to the right client team, but the chatbot cannot see project data and will not report status. For regular, accurate status updates sent to clients, AI Project Status Agent is built for that job.

Can it log enquiries in our CRM?

Not in the standard scope, which includes one handoff integration such as email or a helpdesk. If you want enquiries created as CRM records, add the Additional CRM Integration, or describe your practice management system at checkout for a written Change Quote.

What does the professional services chatbot include?

It includes the Professional Services workflow template, five intents such as services, fees and new-client intake, 40 test questions drawn from real enquiries, two rounds of changes and 30 days of support. The price and every delivery speed are shown before you order, so you can plan the launch around a busy season.

How do partners keep control over what it says?

It answers only from content your firm approves, and your decision-maker signs off the top 20 answers and the test results before launch. Afterwards, changes to wording go through monthly maintenance or your own source updates, so nothing new is said without the firm's approval.

Give partners back the hours spent on first questions.

Order AI Website Chatbot for Professional Services and visitors start getting clear answers about your services and process, while real enquiries arrive as a written brief.
