AI Customer Complaint Agent for Restaurants & Food

Diners who complain during a busy service hear back at once, and allergen concerns reach a manager first.

Diners complain at the worst possible moment: in the middle of a busy service, when nobody can stop to reply. This agent answers straight away, finds the booking or order, and sorts the complaint as food, service, booking, delivery or allergen. Allergen concerns always go to a manager first. Everything else reaches the right person with the details attached, ready for a proper response.

  • Diners answered during service, even when the floor is full
  • Allergen concerns flagged to a manager before anything else
  • Each complaint matched to its booking or order

What it is

AI Customer Complaint Agent for Restaurants & Food answers a diner's complaint the moment it arrives, even mid-service when nobody can stop to reply. It checks the booking on your reservation platform, sorts the complaint as food, service, booking, order or allergen, and routes it, with allergen concerns flagged to a manager.

Why businesses buy it

A restaurant lives on reputation, and a complaint ignored overnight often reappears as a public review the next morning. Managers cannot read messages during service, and by the next day the details are fuzzy. After launch, every diner hears back at once, allergen concerns are escalated without delay, and managers see a clear summary when they have a moment to act. The Scope Card sets the channel, systems and routing rules before you order, so your team knows which complaints come to them and in what order.

Problems this solves

Diner complaints arrive mid-service when nobody can stop to reply

The agent answers a complaint the moment it arrives, even in the middle of service. It checks the booking on your reservation platform, so the reply refers to the right visit.

Allergen concerns get lost among routine feedback

Each complaint is sorted as food, service, booking, order or allergen. Allergen concerns are flagged straight to a manager on duty and are never handled as routine feedback.

Managers hear about bad nights only when the review goes live

Complaints are routed to the right person under the Restaurants & Food routing template. Managers can respond while the guest is still willing to talk.

A good fit if

Complaints come in by email or message during service, and by the time anyone replies the diner has already posted a review.
Your managers want to hear about a cold dish or a long wait the same evening, not the next week.
Allergen-related complaints must always reach a senior person immediately, whatever else is happening.
Bookings run through a reservation platform you can connect, alongside a helpdesk such as Zendesk.

Not the right fit if

Your main gap is replying to public reviews on Google. See AI Review Response Agent for Restaurants & Food.
You mostly miss reservation and menu calls rather than complaints. See AI Voice Receptionist for Restaurants & Food.
You want trends across diner feedback for the kitchen and floor teams. See AI Customer Feedback Intelligence for Restaurants & Food.
You need diners' menu and booking questions answered in general. See AI Customer Support Agent for Restaurants & Food.

How it works

  1. The diner gets a reply right away, in your restaurant's voice, so a complaint sent from the table or the car park is not left hanging.
  2. The booking is found. Your reservation platform shows the party, the date and the time of the visit, so the manager knows which service it was.
  3. It is categorized with the Restaurants & Food template: food quality, service, booking, takeaway or delivery order, allergen concern, or your own list.
  4. Allergen concerns skip the queue. Any complaint mentioning an allergen or reaction is marked highest urgency and sent straight to the manager you named. The agent never gives allergen advice itself.
  5. Everything else is routed by urgency and tone to the general manager, kitchen lead or head office, with a summary and the reason for that route.
  6. Each complaint is tagged by category and service, so repeated issues with one shift or one dish show up in your reporting.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Access to your reservation platform and admin access to your helpdesk.
  • Your published menu with allergen information, and your complaint policy.
  • The manager who must receive every allergen-related complaint, with a backup.
  • Your complaint categories and who handles each one.
  • Ten real diner complaints, including at least one about a booking.
  • Admin access and API keys for both systems, never sent by email.
  • One decision-maker, often the owner or operations manager.
  • A rough count of your current help articles, FAQs and saved replies, so we can check there is enough source content to answer from.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

Expected benefits and how to measure them

  • Diners can hear back quickly, even on the busiest night.
  • Allergen concerns can reach a manager without delay.
  • Complaint categories can show whether issues sit with food, service or bookings.
Reply time on complaints
Compare average time to first reply on complaints in your inbox or booking platform for four weeks before and after launch.
Allergen escalation time
Check the routing log for time between an allergen complaint arriving and a manager being alerted.
Complaints by category
Review monthly totals by food, service, booking and order to see where fixes are working.

Before you start: Note a month of complaints with when they arrived, how long a reply took and what they were about.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

You pay for the build once. Afterwards, AI model usage and hosting run roughly $50 to $250 a month in your own accounts, separate from your reservation platform and helpdesk fees.

The usage generated while we build and test is billed to you too, so every provider account remains in your restaurant's name.

Custom requirements

Several sites with separate managers and rules, a third system such as POS exports, or a second language need a Change Quote. Add the note at checkout for a written quote.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a health report and change hours, such as a new menu's allergen details or a new site manager. It starts after the post-launch support period, bills monthly and can be cancelled any month. Unused hours do not roll over.

$320/mo (5% of the build price a month, includes 3 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How does the restaurant complaint agent handle an allergen complaint?

It acknowledges the diner, marks the complaint highest urgency and sends it straight to the manager you named and the backup you listed. It never offers allergen or medical advice. Your published menu is used only to understand the complaint, not to reassure the diner.

Can AI Customer Complaint Agent for Restaurants & Food reply to a Google review?

No. It handles complaints sent to you directly, through the channel you choose. Review replies are a separate job; see AI Review Response Agent for Restaurants & Food, which drafts replies to public reviews for your approval before anything is posted.

Will it offer a free meal or a refund to an unhappy diner?

No. Goodwill gestures stay with your managers. The agent acknowledges the complaint, explains that a manager will follow up, and passes it on with a summary and the booking details. Your team then decides what to offer, based on your own policy.

What if the complaint is about a takeaway or delivery order?

It is categorized as an order complaint and routed to whoever handles orders. Booking details come from the reservation platform; if you want order details attached automatically, POS exports would be a third system and need a Change Quote. Otherwise the diner's description travels with the ticket.

What does the restaurant complaint edition cost, and can it be faster?

One fixed price covers the whole build and is shown on this page before you buy, with express and rush delivery listed beside it at a set extra cost. AI usage and hosting of roughly $50 to $250 a month are billed to you.

We have three restaurants. Can complaints go to each site's manager?

Routing by site is possible when the complaint or booking shows which restaurant it concerns. If each site needs different categories, contacts and rules, that goes beyond the Scope Card; the Multi-Location Setup add-on, or a Change Quote covers it before work starts.

Answer the diner tonight, not next week.

Order the restaurant edition and every diner who complains hears back straight away, with allergen concerns sent to a manager first and every complaint logged.
