What is an AI agent? A plain-English guide for business owners
What an AI agent is, how it works, where it helps a small business, the risks, and a 7-point check to see if you are ready for one.
Every inbound email gets a ready-to-send reply in your voice, waiting for a person to approve it.
Your team answers the same kinds of emails every day, and each reply still starts from a blank page. This agent reads every message that lands in your inbox and writes a reply in your tone, using your brand guidelines and the past replies you are proud of. A person reviews and sends every draft, so customers always get a human-approved answer.

AI Email Drafting Agent reads each message that lands in your inbox and writes a reply in your tone, using your brand guidelines and past examples. A person reviews and sends every draft; nothing goes out on its own. Over time your team spends minutes approving replies instead of writing them.
Slow or uneven email replies cost sales and goodwill, but writing every answer by hand ties up your best people. Customers notice when one reply is warm and the next is curt. This agent gives your team a strong first draft for every message, in a consistent voice, so replies go out faster and sound like your business. Because a person approves each one, you keep full control of what customers read. The inbox, formats and review rules are written on the Scope Card before you order.
The agent reads each incoming message and writes a draft reply in your tone. Your team reviews and sends, spending time approving instead of writing from scratch.
Drafts follow your tone-of-voice notes and up to 20 example replies you provide. Customers hear a consistent voice, checked against sample drafts you approved.
A person reviews and sends every draft; nothing goes out on its own. The drafts appear in your inbox, ready to edit, send or discard as you see fit.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $1,900 |
| Express | 15–25 working days | $2,300 |
| Rush | 10–20 working days | $2,650 |
Before you start: Pull your average response time from the last month and estimate weekly time spent writing replies. Save a few typical replies for tone comparison.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running it costs roughly $20 to $150 a month in AI model and drafting usage, billed to your own account, and where you land in that range depends mostly on how many emails the agent drafts each month.
AI usage during the build and testing is billed the same way, in your own account, so you keep ownership of the provider relationship from day one.
Ask about running costsAdd a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.
Request a custom versionOptional monthly maintenance covers monitoring, fixes and small changes such as new tone examples or an updated topic list, with change hours that scale with the build. It starts after the thirty days of post-launch support and can be cancelled any month.
$249/mo (the minimum fee, includes 2 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | An email tool with AI replies is usually a monthly seat fee per inbox | A custom agency quotes after discovery calls | Ours is one fixed price, shown before you buy |
| Scope | A generic writing assistant drafts from a blank prompt each time | An agency agrees scope during the project | Ours learns from your own brand guidelines and reference replies |
| Delivery | A writing tool works the day you sign up, with no tuning | An agency usually takes several weeks, set per project | Ours has a fixed delivery time shown before you buy, with faster options |
| Review step | Most tools let anyone send a draft straight away | An agency build depends on what was agreed | Ours always waits for your approver before anything is sent |
No. Every draft waits in your inbox or review queue until your approver reads and sends it. The agent never has send access of its own, so nothing reaches a customer without a person checking it first, however routine the message looks.
Most of the tone comes from the ten to twenty reference examples you provide during intake, so drafts read close to your voice from the first batch it produces. The twenty-five sample drafts before launch give you a further chance to correct anything that still feels slightly off.
Roughly $20 to $150 a month in AI usage, billed to your own account, depending on how many emails it drafts each month. There is no per-seat fee charged by us on top of that. Monthly maintenance is optional and covers small changes like new tone examples.
This build covers one destination inbox, chosen during setup. A second inbox or mailbox is available as an add-on we quote separately, since it usually needs its own tone check, its own reference examples and its own approval routing to stay accurate for that mailbox.
It drafts its best attempt using your brand guidelines and existing reference examples, but flags the reply as lower confidence so your approver knows to read it more closely before sending. It never invents facts about pricing, policy or availability that it was not given.
Expect to spend one to two hours gathering brand guidelines, reference replies and inbox access during that window after ordering. After that, reviewing the twenty-five sample drafts before launch is the main remaining time commitment your approver needs to set aside.
Yes. Small updates, such as new reference examples or a revised topic list, fit inside the monthly change hours once you're on maintenance. A bigger change, like adding a second inbox entirely, goes through a written Change Quote first. Maintenance is optional, starts after post-launch support, and its change hours scale with the build.
Yes, it is the entry point. AI Email Drafting Agent only drafts replies in one mailbox for a person to approve. AI Personal Productivity Agent adds a daily plan and a personal task list. AI Executive Assistant adds inbox triage, calendar management, briefings and follow-ups for a leader. You can move up later, and your intake details are reused.
Order the AI Email Drafting Agent and every inbound email gets a reply drafted in your voice, ready for your team to approve and send. The review rules are agreed in writing first.
