AI Personal Productivity Agent

The day planned, routine replies drafted and a personal task list kept current, automatically.

Most busy people start the day by scanning five apps to work out what matters, then lose more time writing the same replies again. This agent plans your day from your calendar and tasks, drafts routine replies for you to review, and keeps your personal task list current in the background. You approve every reply, and the plan always stays yours to change.

  • A clear daily plan built from your calendar and tasks
  • Routine replies drafted and waiting for your review
  • A personal task list that stays current without manual upkeep

What it is

AI Personal Productivity Agent is a background workflow that plans your day from your calendar and tasks, drafts routine replies for your review, and keeps a personal task list current without manual upkeep. It runs quietly for you alone, and nothing is sent until you approve it.

Why businesses buy it

For founders, consultants and senior people, attention is the scarcest resource. Every morning spent rebuilding a plan and every routine reply written from scratch is time taken from work only you can do. This agent handles that overhead quietly and consistently, so you start each day knowing what matters and finish with fewer loose ends. Nothing is sent without your approval. The connected systems and the workflow are written on the Scope Card before you order, and it is tested on your own days before launch.

Problems this solves

Mornings start with deciding what to do instead of doing it

The workflow plans your day from your calendar and tasks. It runs quietly in the background and is ready before you start, drawing on up to three connected systems.

Routine replies pile up and take the best hours

It drafts routine replies for your review in its AI drafting step. Nothing is sent until you approve it, so you stay in full control of what goes out.

Personal task lists go stale within a week

The agent keeps your personal task list current without manual upkeep, updating it from your connected systems. It runs for you alone, not for the wider team.

A good fit if

You start most days deciding what to prioritize by scanning several apps yourself, and a single daily plan would save that step.
You get routine emails or messages that need a similar reply each time, and drafting them from scratch wastes minutes that add up.
Your task list drifts out of date because updating it competes with actually doing the work.
Your process fits a single workflow of up to 12 steps, such as plan drafted, replies suggested, task list refreshed.

Not the right fit if

You need this delegated for someone else, with broader inbox and calendar management across a team. See AI Executive Assistant.
You need meeting notes and action items captured specifically from calls. See AI Meeting Agent.
You need team-wide task and deadline tracking across a shared project, not one person's day. See AI Project Manager Agent.
You need more than one workflow or more than three connected systems. Add a note at checkout for a Change Quote, or use the Custom AI enquiry form for a larger rollout.
You only need email replies drafted, not a daily plan or task list. See AI Email Drafting Agent, the smallest of the three.

How it works

  1. Your calendar and task list are read each morning, up to three connected systems, and pulled together into a single view of what the day actually looks like.
  2. A daily plan is drafted, ordering tasks against your meetings and any priorities you flagged, so you start the day with a plan rather than building one yourself.
  3. Routine replies are drafted for messages that match patterns you defined, left for your review rather than sent automatically.
  4. Your task list is kept current. Completed items are marked off from what your connected tools show, and new items from meetings or messages are added where the pattern is clear.
  5. Anything that does not fit a defined pattern, such as an unusual request, is left for you rather than guessed at.
  6. The workflow runs the same way every day, tested across 20 runs on your own sample data before it goes live.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The systems involved, such as your calendar, task manager and inbox, with admin or API access to each.
  • A description of how you currently plan your day and decide what to prioritize.
  • Five to ten real examples of routine messages you want drafted replies for.
  • Who should be alerted if a step fails or something needs your attention.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • Your business information (company basics, hours and brand voice), shared during intake.
  • One decision-maker, which for a personal build is simply you, to approve the workflow steps.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • Connections to up to three of your systems, such as calendar, email and task list
  • One workflow with daily planning, task updates and a drafting step, plus guardrail settings
  • A test report from test runs on your sample data

Expected benefits and how to measure them

  • Can make each day start with a plan already in place
  • Helps routine replies get done in less time
  • Makes your task list easier to trust
Time spent on routine replies
Log the time you spend on routine email for two weeks before launch and two weeks after a month of use.
Planned tasks completed each day
Compare tasks completed against tasks planned, using your task tool's history, before and after launch.
Overdue personal tasks
Count overdue items in your task list at launch and at the end of each month.

Before you start: Note how long your morning planning takes and how much time routine replies use each day. Record how many tasks are overdue now.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it costs roughly $20 to $100 a month in your own accounts, covering the automation platform and AI model usage for the drafting step. Cost tracks how many days and messages run through it.

AI usage during build and testing is billed the same way, in accounts you control.

Custom requirements

Add a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.

Keep it running

Optional monthly maintenance includes monthly change hours for small changes such as a reworded plan format or a new reply pattern. The allowance scales with the build, and bigger changes go through a Change Quote. It starts after the 30 days of included support, bills monthly and can be cancelled any month.

$249/mo (the minimum fee, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

Does it send messages on its own?

No. It drafts routine replies for your review and leaves them sitting there for you to send yourself. Nothing ever goes out under your name without you approving it first, by design, no matter how routine or repetitive the message looks.

How does it decide what to prioritize each day?

Against the priorities and patterns you set during intake, weighed against your actual calendar and current task list each morning before the plan is drafted. You can adjust those priorities at any time through monthly maintenance if what matters to you changes.

What does it cost me to keep it running monthly?

Roughly $20 to $100 a month in your own accounts, covering the automation platform and AI model usage. Cost mostly tracks how many days and messages actually run through it each month, and there is no separate fee to us at all.

Can it handle more than one type of routine message?

Yes, within the one workflow in scope, as long as the patterns are defined clearly during intake. A structurally different use case, such as a second unrelated workflow entirely, is available as an add-on, quoted separately from the base build price.

How much of my own time does the build take?

Roughly one to two hours for intake, describing how you currently plan your day and sharing sample messages, spread across the 72 hours after you order. Then about 30 minutes reviewing the 20 test runs before launch, plus the recorded 45-minute handoff session.

Where does the daily plan show up?

Wherever you connect it, such as a message delivered each morning or a running update inside your task tool. You choose the exact format during intake, and it can be adjusted later through monthly maintenance as your routines and priorities change.

Can I change the reply patterns later?

Yes. Small changes fit inside the monthly change hours included with maintenance at no extra charge, since it is a configuration update. A new connected system beyond the three in scope comes through a written Change Quote, priced and agreed before it starts.

How does this compare with AI Executive Assistant and AI Email Drafting Agent?

They form a ladder. AI Email Drafting Agent only drafts email replies for approval. AI Personal Productivity Agent adds a daily plan and a personal task list for one person. AI Executive Assistant is the full version, with inbox triage, calendar management, briefings and follow-ups for a leader. Start small and move up later; your intake details are reused.

Stop starting every day by rebuilding your own plan.

Order the AI Personal Productivity Agent and start each day with a plan ready and routine replies drafted for your review. The workflow is agreed in writing before you pay.
