AI Travel Voice Agent

Fare rules, PNR lookups and itinerary changes handled by phone, with the caller's booking read before it answers.

Travel callers want answers about their own booking, not a generic menu. AI Travel Voice Agent answers your booking line on your own number, looks up the caller's PNR, explains fare rules and change fees in plain language, and books, changes or cancels inside the rules you set. Anything ambiguous is transferred to a person with the booking already pulled up.

  • Every travel call answered, day and night, on your number
  • Fare rules and change fees explained in plain language
  • Bookings and changes written straight into the PNR

What it is

AI Travel Voice Agent answers your travel booking line, looks up the caller's PNR, explains fare rules and change-fee terms in plain language, and books, changes or cancels inside the rules you set. It runs on your own number, around the clock.

Why businesses buy it

Phone queues are one of the fastest ways to lose a traveler's goodwill, especially during disruptions or when they are calling from abroad. Every call your team handles by hand, for a simple change or a fare question, keeps them from the complex cases. This voice agent reads the actual booking before it answers, so callers get specific help rather than a script, and changes happen during the call. The written scope sets one number, two connected systems and up to five call flows with live transfer before you order.

Problems this solves

Callers wait on hold while consultants look up their booking

The voice agent answers your booking line and looks up the caller's PNR straight away. Routine requests are handled on the call, and anything else moves by live transfer to a person.

Change-fee and fare rules confuse callers and stretch out calls

The agent explains fare rules and change fees in plain language, drawn from up to fifty documents or an FAQ set. Callers understand the terms before they make a decision.

Calls outside office hours go to voicemail and are never returned

It runs on your own number around the clock, so late callers in other time zones can still book, change or cancel. All of this stays inside the rules you set.

Simple bookings tie up consultants who should handle complex trips

Up to five call flows cover the routine work, such as booking, changing or cancelling a trip. Consultants take the transferred calls that need their knowledge and judgment.

A good fit if

Travelers call asking about an existing booking: their PNR, a fare rule, a change fee, or whether their flight is still on schedule.
You want new bookings and itinerary changes made on the call itself, read from and written straight back to your reservation system.
You already have a GDS, booking engine or reservation system a phone agent could query for live fare rules and availability.
You want every call logged with a transcript, a summary and the PNR it touched, without staff writing notes afterward.

Not the right fit if

Most calls need the same enquiries handled over WhatsApp instead of the phone. See AI Travel WhatsApp Agent, built for the same travel logic on a messaging channel.
Your calls are mainly disrupted-trip rebooking after a cancellation, not general booking calls. See AI Travel Rebooking Agent, built for disruption-triggered rebooking.
You want a general-purpose phone line not tied to fare rules or PNR lookups, such as appointment booking for a non-travel business. See AI Voice Booking Agent, our general voice-booking build.
You want outbound sales calls made to prospects, not inbound travel enquiries answered. See AI Voice Sales Agent, our general outbound voice build.

How it works

  1. The call is answered on your travel booking line, in the voice you choose, with your call-recording disclosure spoken before anything else.
  2. The caller is asked for a booking reference or the traveler's name and travel date, and the agent looks up the live PNR in your GDS or reservation system before saying anything about it.
  3. Fare rules are explained in plain language: whether a change is permitted, what the change fee or fare difference would be, and any restriction tied to the fare class the traveler booked.
  4. For a new booking, it checks live availability and fare options, then confirms the itinerary and price back to the caller before finalizing it.
  5. For a change or cancellation, it applies the update inside your approval rules, reads the new itinerary or refund amount back to the caller, and writes it to the PNR immediately.
  6. Calls needing a judgment call outside your fare and approval rules, such as a waiver the airline has not confirmed, are transferred to the number you set, with the PNR and call context attached.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • A voice and telephony account in your name, such as Twilio, Vonage or Exotel, with the number to use, forward or port.
  • Your fare rules, change-fee policy and booking scripts.
  • The phone numbers calls should transfer to for anything outside the fare and approval rules.
  • Access to your GDS, booking engine or reservation system, and your CRM.
  • Your preferred voice and language.
  • Your call-recording disclosure wording.
  • Admin access and API keys for every connected system, shared by adding our team as a user or creating a key you control, never by email.
  • One decision-maker who can approve the call flows before launch.
  • An API key for your own AI model account (for example OpenAI or Google Gemini), created for this build with a spending limit.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • The voice agent answering on your own phone number, connected to up to two systems
  • Up to five call flows with live transfer to your team
  • Fare rules and FAQs loaded from up to fifty documents
  • Transcripts and results from fifty test calls
  • An admin guide, the recorded handoff session and 30 days of support

Expected benefits and how to measure them

  • Callers can be served at any hour without waiting for the office to open.
  • Helps consultants focus on calls that need human judgment.
  • Makes fare explanations clearer and more consistent.
Answered-call rate
Compare answered and abandoned calls from your phone system for the four weeks before launch and the four weeks after.
Calls resolved without transfer
Count calls the agent completes against calls transferred, from call records, each week.
After-hours bookings and changes
Count bookings or changes made outside office hours in your booking system, before and after launch.

Before you start: Export a month of call data showing volume by hour, hold times and abandoned calls. Note how many calls arrive outside office hours.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The build price is one-time. Running it is paid in your own accounts, and for a travel voice line that is mostly call minutes: roughly $0.13 to $0.31 per minute all in, covering the voice platform, the AI model and telephony, plus your number rental.

AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.

Custom requirements

If you need something outside the Scope Card, such as a second phone number for a different route or market, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Monthly maintenance covers monitoring, fixes, updates, a monthly health report and change hours for updated fare rules, seasonal pricing changes or a new call flow. It starts after the thirty days of included support and can be cancelled any month.

$295/mo (5% of the build price a month, includes 2 change hours)

Optional. Starts after the post-launch support period. Cancel any month.

Questions about this product

How much does AI Travel Voice Agent cost?

The build is one fixed price, shown with each delivery speed in the panel on this page. It covers everything on the Scope Card, including fifty test calls with transcripts sent to you before launch and thirty days of support afterwards. Call minutes, telephony and AI usage are paid directly in your own accounts, so the number and every recording stay yours.

AI Travel Voice Agent vs AI Voice Booking Agent: what is the difference?

AI Travel Voice Agent is built around travel mechanics: PNR lookups, fare rules and change-fee policy baked into the call flow. AI Voice Booking Agent is our general-purpose phone booking build for any business with a calendar, without fare rules or GDS logic. Choose the travel build if calls need fare knowledge.

Can it explain fare rules and change fees on the call itself?

Yes. Once it looks up the traveler's PNR, it explains what a fare rule permits, whether a change fee or fare difference applies, and any restriction tied to that fare class, all in plain language rather than reading the raw fare rule text. Anything ambiguous is transferred to a person with the PNR attached.

Can it book or change a reservation directly on the call?

Yes. It reads live availability and fare options from your GDS or reservation system, confirms the itinerary and price back to the caller, then writes the booking or change straight into the PNR before the call ends. Nothing is queued for a staff member to enter manually afterward.

What does AI Travel Voice Agent cost to run each month?

Call minutes run roughly $0.13 to $0.31 a minute all in, covering the voice platform, the AI model and telephony, plus your number rental, paid directly in your own accounts. Monthly maintenance is optional if you want ongoing fare-rule updates handled for you.

Will callers know they are speaking to an AI agent?

Yes. The greeting includes a short disclosure in your own wording, spoken before the caller says anything, which several countries and US states require for automated calls. You approve the exact phrasing during intake, and it can be changed later through monthly maintenance without rebuilding the call flow.

Can we update fare rules and pricing after launch?

Yes. Seasonal pricing changes, a new fare rule or an updated change-fee policy fit inside the monthly change hours in maintenance. A structurally new call flow, such as a second language or a new route, is scoped and quoted separately before the work starts.

Let the phone quote fare rules while your agents handle what needs judgment.

Order AI Travel Voice Agent today and it goes live on a fixed delivery date. The scope above is exactly what you get, in writing, before you pay.
